As a multi-campus non-denominational church, we are looking for an exceptionally organized, proactive, and relational Administrative Assistant. The HR Administrative Assistant provides support to the Human Resources department as well as the needs of the staff, ensuring that personnel processes, recruitment efforts, and staff communications are handled with excellence and confidentiality.RESPONSIBILITIES:Coordinate interview scheduling with candidates and interviewers, managing calendarsacross departments and ensure interview spaces are professionally staged prior toonsite interviews.Assist in the preparation of job postings and the maintenance of departmental jobdescriptions.Support the onboarding process for new hires including but not limited to: thepreparation of welcome announcements, staff updates, training information andonboarding meetings and office space preparation prior to employee start date.Responsible for part-time payroll execution as well as working with people managers toensure hours are properly submitted in a timely manner.Support benefit enrollment/terminations and act as employee liaison between all benefitproviders to ensure accurate and timely services.Exercise exceptional discretion and sound judgment by maintaining strict confidentialityregarding HR discussions, personnel matters, legal matters, financial information, andother sensitive organizational information.Administrative SupportServe as a trusted administrative partner to the HR Director and the Payroll and BenefitsDirector, anticipating needs and tracking priority follow-through.Prepare meeting agendas, coordinate logistics, and capture action items for HR-relatedmeetings.Assist with documentation, digital filing systems, and operational record-keeping toensure process integrity.Reconcile credit card receipts for the department and assist with processing HR vendorpayments.Systems & CommunictionsManage employee data and workflows within Paycom, Planning Center, and MinistrySafe to ensure all employee requirements are met and renewed when necessary.Communicate professionally and clearly with staff regarding updates, deadlines, andmilestones.Help facilitate requests and approvals involving HR-related processes.Strong organizational and administrative skills with exceptional attention to detail.Ability to maintain a high level of discretion, professionalism, and relational intelligence.Proficiency in Google Workspace, Paycom and familiarity with Planning Center Online (PCO) or similar systems.Excellent written and verbal communication skills.Proactive problem-solver who can thrive in a fast-paced ministry environment.Success in this Role Looks LikeThe HR team is consistently informed, prepared, and supported.Recruitment and onboarding processes operate smoothly and proactively.Operational details and staff records are handled efficiently and accurately.Staff feel supported, organized, and cared for through clear communication.SCHEDULE:Office Time – Monday through Friday, 8:30 am to 4:30 pmYOU'RE A GOOD FIT IF YOU ARE:Growing your personal faith and relationship with God.An active member or willing to become an active member, living out the mission, values,and staff culture of Hope Fellowship.Proactive rather than reactive.Maintain strict confidentiality regarding staff, volunteers, congregants, finances, andsensitive personnel matters.Process-minded yet flexible enough to meet changing ministry needs.Passionate about supporting ministry through excellence and organization.
