We are seeking a highly organized, detail-oriented, and proactive HR & Benefits Coordinator to support day-to-day benefits administration, HR operations, employee support, data analytics, reporting, and administrative processes. This coordinator-level role will help ensure accurate benefits transactions, responsive employee service, timely HR data updates, and effective coordination with internal stakeholders, benefits vendors, payroll, and HR leadership across a portfolio of companies in a fast-paced technology environment.
Key Responsibilities:
Benefits Administration, HRIS & Process Coordination:
- Support the day-to-day administration of employee benefit programs including: Medical, Dental, Vision, Life & Disability, Retirement/Savings (401(k)), FSA/HSA, Employee Assistance Programs- EAP, Wellness and Well-being Programs , and Voluntary Benefits programs.
- Process enrollments, qualifying life events, beneficiary updates, terminations, and related benefit transactions accurately and timely.
- Maintain benefits records, enrollment documentation, carrier files, eligibility data, and HRIS/ADP/payroll/benefits system information; bswift experience is a plus.
- Respond to routine employee benefits and HR program questions and elevate complex issues to HR leadership, brokers, carriers, vendors, payroll, or appropriate stakeholders.
- Assist HR leadership with benefits evaluation, annual planning/budgeting, data gathering, timelines, follow-up, and process/automation improvements.
- Partner with Payroll and Finance to resolve benefit-related issues.
- Support annual benefits planning and budgeting processes by compiling data, tracking timelines, coordinating materials, and assisting with follow-up items.
- Partner with Payroll and Finance teams to resolve benefit-related issues.
- Identify opportunities to improve and document HR/benefits processes, automation, efficiency, and service delivery.
Open Enrollment, Employee Education, Leave & Wellness:
- Support annual open enrollment through employee materials, communications, system/vendor coordination, enrollment tracking, employee education, and follow-up on incomplete elections.
- Prepare benefits for communications and coordinate employee presentations, webinars, and information sessions.
- Coordinate employee presentations, webinars, and information sessions regarding benefits programs.
- Administer employee leave program processes including : FMLA, disability leave, paid parental leave and other statutory/company-sponsored leave processes.
- Partner with stakeholders to support wellness initiatives aimed at improving employee health, engagement, and productivity.
- Serve as day-to-day point of contact for benefit providers, consultants, brokers, and third-party administrators; elevate complex issues appropriately.
- Track vendor service issues, renewal timelines, documentation, follow-ups, service levels, and contractual obligations.
- Assist with periodic reviews of plan effectiveness and utilization trends.
Benefits Compliance, Documentation & Reporting:
- Support compliance with applicable federal, state, and local benefits regulations through accurate records, required notices, regulatory tracking, and appropriate escalation.
- Maintain compliance documentation related to ERISA, ACA, COBRA, HIPAA, IRS regulations, and applicable labor and benefits legislation.
- Support audits and compliance reviews by gathering records, organizing documentation, tracking requests, and coordinating follow-up.
- Compile and summarize benefits utilization, participation, cost trends, HR metrics, and report data for HR leadership and stakeholders.
- Prepare benefits/HR metrics, dashboards, and regular reports; track market trends and benchmark benefits against industry standards.
HR Operations, Employee Support & Administrative Support:
- Respond to routine HR inbox inquiries professionally and timely; provide general guidance and elevate sensitive matters to HR leadership.
- Document employee concerns accurately, maintain confidentiality, and route workplace concerns or disputes to HR leadership for appropriate review.
- Apply HR policies and procedures consistently and elevate policy interpretation questions when needed.
- Support onboarding, offboarding, employee record maintenance, employment verifications, and related administrative activities with accurate HRIS and benefits updates.
- Maintain employee records and compliance documentation; support audits, employee events, training sessions, communications, and related HR administration.
- Process employment verifications and respond to routine administrative requests accurately and timely.
- Coordinate employee events, training sessions, communications, and related HR administrative support activities.
- Support audit preparation by gathering records, organizing documentation, tracking requests, and coordinating follow-up items.
Recruitment Support:
- Support Talent Acquisition by posting open roles, sourcing and screening candidates, and scheduling interviews.
- Perform other duties as needed.
Qualifications, Skills & Core Competencies:
Education:
- Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
Experience:
- Minimum 5+ years in HR administration, benefits administration, HR operations, or related coordinator-level support. Benefits administration, HRIS, ADP, bswift, and HR reporting experience highly desirable.
Benefits & HR Administration:
- Working knowledge of HR policies, benefits administration, open enrollment processes, employee support practices, and transaction accuracy.
HRIS, Systems & Reporting:
- Proficiency with HRIS and benefits systems, including ADP; bswift preferred. Ability to maintain accurate HRIS/benefits data and summarize reports.
Employee Service & Communication:
- Strong communication and interpersonal skills with a customer-service mindset and professional, accurate, timely responses.
Confidentiality, Compliance & Judgment:
- Strong attention to detail, sound judgment, and discretion with confidential employee, HR, benefits, and compliance information.
Organization & HR Operations:
- Exceptional organizational and time-management skills with accurate execution across onboarding, offboarding, records, and administrative support.
- Ability to coordinate with benefits vendors, brokers, carriers, payroll, and internal stakeholders.

- Ability to identify opportunities to improve HR/benefits workflows, documentation, efficiency, and employee service.
Success Measures & KPIs Timeline / KPI:
First 90 Days:
- Build relationships with HR leadership, payroll, benefits vendors, brokers, carriers, and internal stakeholders; understand key processes, escalation paths, and service expectations.
- Develop working knowledge of HRIS, benefits systems, open enrollment, carrier workflows, employee inquiry handling, and routine HR operations.
- Accurately and timely process routine benefits transactions, employee inquiries, HRIS updates, onboarding/offboarding tasks, and required documentation with appropriate guidance or escalation.
6–12 Months:
- Serve as a dependable benefits and HR operations resource for employee questions, benefit navigation, HRIS updates, documentation, and process support.
- Identify, document, and help improve at least one benefit or HR operations process to strengthen accuracy, timeliness, service, documentation, or compliance support.
- Support benefits administration, employee service, reporting, compliance documentation, vendor coordination, and routine HR operations across portfolio companies with increasing accuracy, consistency, and independence.
Ongoing KPIs:
