THE DEPARTMENT:

University Housing Services (UHS) is responsible for delivering acomprehensive student housing experience, which includes operationsin residential life, business operations, facilities management,conference services, marketing, and information systems. Thisposition will have responsibilities in support of the UHSdepartment, with a focus on duties supporting the Residential Lifeand Business Operations teams. The Residence Life Team (RL T) isresponsible for the development and delivery of services andprograms in a residential experience that ensures the quality oflife, well-being, and personal development of residential students,contributing to retention and academic success. This unit isresponsible for establishing policy and procedure in theresidential facilities, individual contact with residents, advisingand facilitating student government, administering conduct,intervening in crisis, developing educational and programmaticefforts, and coordinating the safety and security of residents. TheBusiness Operations team is responsible for the business processesfor residents and staff. This includes managing the housingapplication, contracting, reporting, student accounts, keys, and ITsystems and access. Additionally, this area overseescustomer-facing services such as the front desks, package roommanagement, department email, phones, and communication. BusinessOperations also includes desktop support, conference services, andmarketing, as well as budget management and oversight of accountsreceivable for the department.

DUTIES AND RESPONSIBILITIES:
Residence Life Support:
  • Support administrative functions of the Director of ResidenceLife and the Residence Life team
  • Coordinate the general accounting process and provide supportand training to the Residence Life Team, including but not limitedto petty cash funds; purchases of programming supplies;reimbursements; and other financial transactions
  • Provide oversight and coordination of the annual health andsafety inspections
  • Coordinate Residence Life Team parking passes andassignments
  • Provide administrative support for recruitment of professionalstaff
  • Provide administrative support for the recruitment andtimekeeping of our graduate intern staff
  • Maintain active calendar tracking and communication of upcomingactivities, giving special attention to all designated fundingsources
Business Services Support:
  • Support administrative functions of the Director of BusinessOperations and the Business Services team
  • Work independently to implement and coordinate the training ofstaff on processes and systems, including but not limited to issuesrelated to financial transactions, reimbursements, and housingsoftware
  • Provide reports and data related to finance & budget,staffing, training, occupancy, etc.
  • In collaboration with department partners, this position willalso be responsible for information & communicationcoordination strategies to increase effective communication andoutreach
  • Coordinate community front desk operations and provideday-to-day work direction, training, and resources to student staffassigned to those areas.
  • Coordinate cross-departmental processes between Residence Life,Business Services, and * Facilities, including but not limited to:Emotional Support Animal process, Bike Storage Process,Temporary/Emergency housing process, Cancellation process, Studentpaycheck distribution, Coordination of staff and RA mealplans.
General Responsibilities:
  • Participate on/in department, division, and universityprojects, committees and task forces.
  • Participate in regional, state, and national organizationsrelated to housing and residence life, student personnel, andstudent development.
  • Serves as a member of the timeline committee that coordinatesthe annual move-in and move-out process.
  • Serve in a supportive role for the oversight of contracting androom assignment services for University Housing Services.
  • Occasional night and weekend work is required in order tofacilitate annual events such as move-in, campus open houses,orientation, etc.
QUALIFICATIONS:
  • Bachelor's Degree - in a related field.
  • DL NUMBER - Driver License, Valid and in State ValidCalifoirnia driver's license and auto insurance.
  • Two years of relevant experience.
  • Working knowledge of housing operations, including housingoperations systems, policies, procedures, laws and regulations, andbest practices. Working knowledge of student organizations,collegiate policies, and communications. Strong organizationalskills to plan, organize, and prioritize multiple projects andhousing operations. Strong analytical skills to assess operationalefficiency and support budget management. Ability to provide leadwork direction and training to students and housing support staff.Strong communication and interpersonal skills to work effectivelywith students, parents, staff, and campus partners. Proficiency inusing housing operations software and/or related equipment.
PREFERRED QUALIFICATIONS:
  • Experience working in university housing, student affairs,residential operations, or a comparable environment.
  • Experience coordinating administrative or housing operationsprocesses.
  • Experience supporting financial transactions, accounts, orbudget-related processes.
  • Experience providing training or leading work direction tostudent employees or support staff.
  • Experience using housing management systems such as StarRez andenterprise systems such as Oracle PeopleSoft.
  • Experience analyzing operational data and developing orimproving administrative procedures and processes.
  • Strong written, verbal, organizational, and customer serviceskills.

CSU Classification Salary Range

This position is part of the CSUEU bargaining unit 9. The CSUClassification Standards for this position are located on the CSU Classification Standards website. The CSU Salary Schedule islocated on the CSU Salary Schedule website. The classification salary rangefor this position according to the respective skill level is:minimum $4,617 and maximum $6,727 per month. University Driving Requirement
