Hourly Clinical Mentor Contract Coordinator

Summary:

The W. Cary Edwards School of Nursing and Health Professions is seeking a detail-oriented, part-time Clinical Mentor Contract Coordinator to manage the full contract lifecycle for the School's Clinical Mentors — independent contractors who provide clinical instruction to undergraduate nursing students at healthcare facilities throughout New Jersey. Each eight (8) week term, the Coordinator ensures that every Clinical Mentor is credentialed, contracted, and paid accurately and on time. This role is the administrative backbone of the School's clinical instruction model and requires exceptional organization, follow-through, and professional communication.

Responsibilities:

The Clinical Mentor Contract Coordinator will:

  • Secure a current curriculum vitae (CV) or resume from each Clinical Mentor
  • Store Clinical Mentor credentials, contracts, and related documentation in the University's designated secure system, in compliance with University records and confidentiality policies
  • Collaborates with the clinical compliance coordinator to confirm that each Clinical Mentor has completed all required onboarding and compliance requirements (e.g., licensure verification, CPR certification, liability insurance, health clearances, and background check) prior to the start of each contract
  • Coordinate with the Assistant Director of Clinical Health Professions every term to determine Clinical Mentor course and clinical site assignments
  • Communicate with each Clinical Mentor every term to verify contracted dates, times, and clinical hours
  • Develop one (1) independent contractor agreement, with corresponding scope of work, per Clinical Mentor per term using the University's approved contract template
  • Secure a signed independent contractor agreement from each Clinical Mentor every term, prior to the start of services
  • Issue the University's independent contractor invoice form to each Clinical Mentor at the appropriate point in the contract period
  • Collect completed independent contractor invoices at contract end, verify them against the executed contract, and submit them for payment processing
  • Track contract status, outstanding documents, and payment submission for all active Clinical Mentors and report status to program leadership
  • Maintain professional, responsive communication with Clinical Mentors, the Clinical Coordinator, and University offices (e.g., Human Resources, Treasury)
  • Perform related administrative duties as assigned
Requirements:
  • Associate degree or higher
  • Two (2) or more years of administrative, contract administration, credentialing, or program support experience
  • Demonstrated ability to manage recurring, deadline-driven processes with a high degree of accuracy
  • Strong written and verbal communication skills and a professional, service-oriented approach
  • Proficiency with MS Office (Word, Excel, Outlook), Adobe/e-signature tools, and web-based systems
  • Ability to handle confidential contractor information with discretion, consistent with University policy
Preferred Requirements:
  • Experience in higher education, healthcare credentialing, or clinical placement coordination
  • Familiarity with independent contractor (1099) documentation and invoicing workflows
