Job summary

RRD in Century City, Los Angeles is seeking a Hospitality Associate to deliver first-class client and guest experiences onsite. You will manage conference room readiness, coordinate catering, support reception, and oversee meeting logistics from arrival to completion.

The role requires white-glove hospitality experience and strong communication, with a proactive approach to anticipating client needs. This fully onsite position offers regular weekday hours, solid teamwork, and a strong emphasis

Responsibilities

  • Check the conference room and meeting schedule during shift and note changes to ensure correct setup.
  • Set up conference rooms per client requests, including A/V equipment, food, beverages, utensils, and supplies.
  • Clean up conference rooms after use and return items to vendors.
  • Prepare coffee and other beverages in assigned kitchens each morning.
  • Maintain pantry and kitchen areas clean and stocked throughout the day.
  • Communicate with supervisor or client on meeting requests and deadlines.
  • Maintain catering supplies inventory and order as needed.
  • Place orders for food and beverages for meetings.
  • Coordinate with personnel, vendors, and contacts to ensure competitive, vetted pricing.
  • Assist in training new hires and onboarding tasks.
  • Prioritize workflow and participate in process improvement ideas.
  • Answer phones in the Office Services center.
  • Follow Williams Lea and client site policies, use resources efficiently.
  • Occasionally lift up to 50 lbs and provide back-up support to Reception.

Job Description

The Hospitality Associate plays a key role in creating a first‑class client and guest experience by delivering exceptional hospitality, meeting, and workplace support services. Responsibilities include managing conference room readiness, coordinating catering and vendors, supporting reception, overseeing meeting logistics, and ensuring flawless execution of events from arrival through completion. The ideal candidate brings experience in white‑glove hospitality, corporate reception, or a professional services environment, along with strong communication skills, attention to detail, and a proactive approach to anticipating client needs. Experience supporting law firms, banking, private equity, or other high‑touch corporate environments is highly preferred.

Location: Century City, Los Angeles, CA
Shifts: Monday-Friday 8am - 5pm, with a 60‑minute lunch
Work model: Fully onsite

Job duties
  • Check the conference room and meeting schedule throughout shift and make note of any changes to ensure meetings are set‑up accurately
  • Set up conference rooms according to client’s request, including audio/visual equipment, food, beverages, utensils, ice, etcetera
  • Clean up conference rooms after use and return property to vendors if necessary
  • Prepare coffee and other beverages in assigned kitchens each morning
  • Clean up coffee makers pantry in each kitchen in the evening and throughout the day
  • Communicate with supervisor or client on meeting request concerns or deadline issues
  • Maintain inventory of catering supplies and order supplies as needed
  • Place orders for food and beverages for use during meetings
  • Coordinate and act as liaison with personnel, food merchants, selected contact and outside vendor(s) to ensure the pricing is competitive and reviewed quarterly
  • Ensure the value‑added products and services are secured at competitive rates that have been vetted
  • Perform appropriate vendor selection and management associated with department services and/or products
  • Assist in training new hires

  • Answer telephone in Office Services center
  • Adhere to Williams Lea policies in addition to client site policies
  • Use equipment and supplies in a cost‑efficient manner

Qualifications
  • High school diploma or equivalent
  • Minimum (1) year professional experience preferably in hospitality or corporate reception
  • Able to make independent decisions that conform to business needs and policy
  • Strong interpersonal communication skills required
  • Excellent organizational skills required
  • Must be able to meet deadlines and complete all projects in a timely manner
  • Strong attention to detail is required

Additional Information

The salary range for this role at the noted RRD location is $17.88 - $24.28 / hour. Starting pay decisions are determined based on multiple factors including but not limited to relevant education, qualifications, skills, experience, certifications, proficiency, performance, shift, location, and other business needs. Typically, roles follow step progressions to a target rate or set increments over time. Depending on the role, in addition to the hourly rate of pay, the total compensation package may also include overtime, shift differential, call‑in, and/or stand‑by pay. RRD’s benefit offerings include medical, dental, and vision coverage, paid time off, disability insurance, 401(k) with company match, life insurance and other voluntary supplemental insurance coverages, plus parental leave, adoption assistance, tuition assistance and employer/partner discounts.
