25N Coworking in Waco is seeking an Hospitality Admin to support the Guest Experience Lead. This entry-level, fast-paced role focuses on organization, record-keeping, and delivering a welcoming member experience in our coworking community.

You will manage ongoing task lists, assist with front-desk coverage, and help maintain a smooth and productive environment for members and guests. An emphasis on teamwork and communication is essential for daily success.

  • Manage budget tracker, checklists, attendance lists, and reports for 25N Coworking in Waco.
  • Coordinate projects and location initiatives to support the Guest Experience Lead.
  • Cover front desk during designated hours and greet members and guests.
  • Respond to member concerns with professionalism and timely communication.
  • Maintain mail services, printing station, and meeting room setup and reset.

The Role in A Nutshell:

The Hospitality Admin is an entry-level role in a fast-paced, fun work environment. They are the organizational wizard behind the scenes, keeping records accurate, tracking important details, and making sure the little things never slip through the cracks. They are also a friendly face for our members, helping create a positive experience through organized processes and thoughtful communication. They will manage an ongoing task list that supports the Guest Experience Lead to ensure that 25N members and guests have great workdays every day.

In short, they're the heart and soul of our coworking community, and 25N wouldn't be the same without them.

Schedule/Availability:

Full-time, 35-40 hrs. per week. Shifts fall between 8:00 am and 5:00 pm, Monday - Friday (some exceptions apply).

DUTIES + RESPONSIBILITIES:
Operations Admin
  • Manage budget tracker, checklists, attendance lists, and reports for 25N Coworking in Waco.
  • Support the Director of Sales & Launch and Guest Experience Lead by coordinating projects, organizing information, and following through on location initiatives.
  • Continuously identify opportunities to improve processes, increase efficiency, and enhance the overall member and guest experience.
Point of Contact
  • Cover the front desk as needed during designated hours to support the Guest Experience Lead.
  • Create authentic points of connection while checking in members and guests.
  • Track attendance of members and guests.
Membership Management
  • Use excellent communication skills to respond to member concerns with thoughtfulness and professionalism, making sure to communicate member-related issues to the Guest Experience Lead.
  • Support the Guest Experience Lead in tasks related to member on- and off-boarding.
  • Be active on the Slack member network daily in a creative way.
  • Manage mail services and pass out mail deliveries daily, or notify members accordingly.
Facility Management
  • Conduct “sweeps” every hour to ensure a tidy and welcoming working environment.
  • Brew coffee.
  • Take garbage to dumpsters.
  • Prepare and maintain the printing station, including the restock of supplies.
  • Set up, service and reset meeting rooms.
Event Coordination
  • Assist the Guest Experience Lead in organizing, coordinating and preparing event details.

  • Create an organized, welcoming, and member-focused environment by anticipating needs and paying attention to the details that make a difference.
  • Provide exceptional administrative support to ensure the smooth operation of the hospitality team, which translates to joyful workdays and a stellar member experience.
  • Identify and set day-to-day priorities through clear communication with the Waco Community Team.
YOUR QUALIFICATIONS (EDUCATION, SKILLS, EXPERIENCE) :
  • A can-do attitude and desire to learn and grow with the company.
  • Experience (or desire to grow) in the field of customer service, hospitality, or event administration is preferred.
  • Proven team player/collaborator.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Friendly, professional communication skills with enthusiasm for delivering exceptional member service.
  • Ability and willingness to manage, prioritize and perform a wide variety of tasks while ensuring attention to detail.
  • Proficiency with Google Suite (Gmail, Calendar, Sheets, Drive) and the ability to quickly learn new software systems. Experience with Asana, Yardi, Slack is a plus.
  • Willingness to be flexible, wear many hats, pitch in and perform any work task needed to get the job done (e.g. includes dishwasher loading, making coffee, etc).
PHYSICAL REQUIREMENTS

  • Lift and carry up to 30 lbs.
  • Move furniture, equipment, etc. up to 100 lbs with assistance. For example, move a desk with the help of a dolly and/or a co-worker.
  • Ascend and descend ladders and stairs.
  • Work in cold or hot environments and potential wind/rain at outdoor events.
  • Regularly access low/high spaces that may be at irregular angles, such as under a desk or high shelves.
  • Operate computer and office equipment, including coffee maker, laptop, keyboards, mouse, copy machine, AV meeting room equipment and similar.
  • Be standing and walking for at least 1 hour at a time, 2-3x per day
  • Work in loud, chaotic environments and/or in crowds during community events.
  • Maintain concentration and focus in a busy environment where people are coming and going.
