Job summary

Next Care Hospice is seeking an experienced Hospice Office Manager to support the daily administrative operations of our hospice team. The ideal candidate is organized, dependable, detail-oriented, and already familiar with the hospice environment. Previous hospice experience is required.

Experience with hospice EMR systems is required; HospiceMD experience is a plus. CHAP accreditation knowledge and survey readiness are preferred, with strong documentation and vendor coordination skills

Qualifications

  • Minimum 2 years of hospice experience required.
  • Experience with hospice EMR systems; HospiceMD experience is a plus.
  • Familiarity with CHAP accreditation and survey readiness preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and follow tasks through completion.
  • Strong written and verbal communication skills.

Responsibilities

  • Oversee and support the day-to-day administrative operations of the hospice office.
  • Maintain organized records, files, logs, and administrative tracking systems.
  • Monitor outstanding administrative items and ensure appropriate follow-up through completion.
  • Assist with communication and coordination between clinical, billing, intake, and administrative team members.
  • Support CHAP compliance and survey readiness, including organization and maintenance of required administrative documentation.
  • Assist with gathering and maintaining documentation for audits, surveys, compliance reviews, and plans of correction.
  • Receive, track, and upload Physical Therapy and Wound Care notes into the appropriate patient record in the EMR.
  • Follow up with contracted PT and Wound Care providers regarding missing or outstanding documentation.
  • Manage Accounts Payable (AP) administrative functions, including receiving, organizing, and tracking invoices and vendor statements.
  • Identify invoice discrepancies and follow up with vendors or appropriate team members as needed.
  • Maintain organized AP records and supporting documentation.
  • Assist leadership with administrative projects and operational needs as assigned.
  • Maintain confidentiality of patient, employee, financial, and organizational information in accordance with HIPAA and company policies.

We are looking for someone who can step into the role with an understanding of hospice workflows, documentation, compliance requirements, EMR systems, and vendor coordination.

  • Proficient with Microsoft Office and/or Google Workspace.
  • Ability to work independently while effectively collaborating with clinical and administrative team members.
