Job summary

ECU Health is seeking a dedicated HIMS Operations Specialist II based in Greenville, NC. You will manage medical records, respond to external requests, copy records for Release of Information, and guide Vital Records processes within the HIMS department.

The role requires high school or equivalent, medical terminology knowledge, and at least three years in a similar environment. Notary certification may be required within 6 months. You’ll work a full-time day shift with benefits.

Responsibilities

• Perform other duties as assigned by the HIMS Manager/Supervisor.

Position Summary

Under the supervision of the Health Information Management Services (HIMS) Manager and/or Supervisor and the overall supervision of the Director of HIMS, the HIMS Operations Specialist II demonstrates a commitment to excellence in patient and staff relations. As a member of the HIMS team, the HIMS Operations Specialist II aids in the management of medical records and assists with the timely response of medical record requests for external customers in the HIMS department. The HIMS Operations Specialist II copies records for Release of Information, accurately preps/scans/QA charts, performs necessary duties for Vital Records, resolves any duplicate medical record numbers and prepares deficiency/delinquency lists for physicians. Assists on special projects, participate on project teams, run reports, etc. as requested by the HIMS Leadership team. The HIMS Operations Specialists II is required to perform and complete any additional duties associated with the HIMS department in a quality, effective manner and assist the HIMS Manager and/or Supervisor as needed.

Responsibilities

Vital Records:

• Prepares birth certificates by retrieving Birth Delivery Notification sheets from Labor/Delivery, recording infants' names in EPIC, interviewing mothers to obtain information. Inputs the birth certificate information electronically and obtains signatures as required.
• Submits completed birth and fetal death certificates to Vital Records in Raleigh and the local Health Department within the NC state required time frame.
• Maintains notary status to complete affidavit as needed.
• Updates baby's legal name in EPIC.

Other Duties:

• Monitors supplies and lets appropriate staff know when to order.
• Assist personnel in other areas of the HIMS department as requested.
• Demonstrates safe operation of all equipment in compliance with departmental policy, safety, and infection control and quality standards.
• Be able to work shift work on rotation, including weekends and holidays, in order to provide departmental coverage if necessary.
• Other duties as requested by the HIMS Leadership Team.

Minimum Requirements

• High School, equivalent or higher is required. (prefer additional educational training).
• Medical Terminology and computer experience preferred.
• Three years of similar work environment experience required.
• Notary Public certification required within 6 months of employment (as deemed necessary).

Pay Range

$16.97 - $24.74/hr

Other Information

• Onsite role (based out of Greenville, NC)
• Monday - Friday, full-time, day shift:
  • 7:00 a.m. - 3:30 p.m. OR 8:00 a.m. - 4:30 p.m.
  • Weekend rotation: every 5th/6th weekend, depending on needs
