About the High School Registrar Role at KIPP DuBois Collegiate Academy

The Registrar provides a range of services to address the academic needs of all KIPPsters, especially to impact, influence, and drive GPA health for students in partnership with Assistant Principals. The essential functions may vary in intensity and demand. This role reports directly to the Director of Operations with additional collaboration with KIPP Forward, our team that supports students to choose and prepare for the educational and career path that fits their goals and sense of purpose.

Job Description
Scheduling and Course Selection
  • Understand student preference and pathways towards post-secondary goals and counsel students around course selection
  • Serve as master scheduler; create, refine and modify as needed the daily course and bell schedule for the school as well as individual schedules for each student
  • Manage and respond to schedule change requests from administration, students, and families
  • Manage planned and unplanned teacher absences; coordinate with leaders, teachers and substitute agencies to ensure lesson materials are in place and guest teachers are set up for success
Testing Coordination
  • Serve as the school’s Testing Coordinator, ensuring all local, state and national testing adhere to state/national guidelines, including but not limited to--
    • Testing materials storage and distribution
    • Testing schedule and logistics
    • Testing participation rates
  • Ensure all staff are trained and equipped to administer tests in adherence to state/national guidelines; ensure testing communication is clear, concise, and timely
  • Monitor and manage late testing and testing for absent students
Database Management & Data Analysis
  • Manage and maintain key school data systems (including but not limited to PowerSchool, DeansList, Scholarchip, staff Google accounts), ensuring functionality and accuracy
  • Provide training to teachers/staff members as needed on usage of these systems and create new accounts as needed
  • Provide responsive troubleshooting and support to students or staff members encountering technical issues
  • Run, print and distribute weekly reports linked to key school initiatives or metrics
  • Analyze data and proactively identify problematic trends and propose solutions
Oversee GPA Health
  • Work with Director of Operations to create and systemize regular data reports outlining GPA health and progress monitoring
  • Plan for systems that build student literacy around GPA health and graduation readiness
  • Work with the Principal to analyze and respond to GPA data
  • Work with Assistant Principals to respond to classes not meeting annual targets for passing rates
Oversee Graduation Readiness
  • Conduct regular audits of transcripts 9-12
  • Audit all incoming new student transcripts to ensure accurate grade placement
  • Meet with and counsel students in 9-12 who are off track for securing their credits, running Progress to Graduation meeting biannually (fall and spring) + additionally as needed
  • Monitor progress against KPPS graduation requirements, and work to implement next steps for student cohorts
  • Ensure clear, regular communication with students and families on progress to graduation
Manage Credit Recovery Systems
  • Maintain robust tracking systems that identify student credit gaps
  • Identify, lead, and plan for student opportunities for credit maintenance (i.e. online credit recovery, Summer School)
Oversee and Manage Grading Systems
  • Work with KIPP Philadelphia Regional Data team to coordinate PowerSchool/PowerTeacher gradebooks/to support grading systems
  • Monitor Gradebook health + work with Assistant Principals to respond to gaps in assignment frequency
  • Fulfill alumni transcript and diploma requests
Post-Secondary Readiness and Success

In partnership with the KIPP Forward team:

  • Provide PD to staff to build readiness and investment in GPA systems and grading systems
  • Support onboarding of Freshmen during 8/9 transition, with specific attention to students coming from non-KIPP middle schools (in other grades as well)
  • Work with KIPP Forward team to plan and implement strategies for increasing literacy with academic health (GPA/credits) and post-secondary readiness in preparation for junior/senior year
  • Work with KIPP Forward to identify internships, summer programs, + enrichment opportunities for students as they align enrichment to post-secondary goals
  • Coordinate with the Dual Enrollment Program Manager to ensure on time student registration for Dual Enrollment courses and up-to-date transcripts that reflect dual enrollment credits
  • Oversee planning, progress, implementation, and tracking of career artifacts of the PA Career Education & Work (PACEW) standards.
  • Submit annual high school profile for post secondary institutions
Research and Data
  • Tracks data using student data systems (PowerSchool, Dean’s List, etc)
  • Researches and stays current on higher education programs, trends, and issues with student impact and makes recommendations based on best practices and research
  • Assists in the utilization of an effective early-alert system for at-risk students and analyze attrition and student success outcomes and take action to improve retention
Additional Responsibilities
  • Participate in active presence and strategic supervision and monitoring to ensure student safety and engagement in rigorous learning
  • Partner with the Assistant Principal of Student Support and Special Education Teachers to ensure proper implementation of 504s, BIPs, IEPs, safety plans, accommodations, modification, and language support for students
  • Enforce positive behavior systems and monitor behavior data
  • Attend designated school functions outside of school hours (Back to School Night, Report Card Conferences, Community Events, etc.)
  • Perform necessary support duties including (but not limited to) bus, lunch, and dismissal duties, chaperone field trips. Participate in parent meetings, conferences, and periodic evening events
  • Develop strong relationships with the families of students through home visits, participation in school events and phone calls home
  • Communicate regularly with families about academic progress and behavior
  • Participate in daily duties (i.e. breakfast, lunch, dismissal) to support school operations
  • Maintain accurate records, grade books, and data tracking systems
  • Assist with both student and staff recruitment
Professional Responsibilities
  • Assume personal responsibility for student achievement
  • Read, internalize, and adhere to the KIPP Philadelphia Public Schools policies
  • Provide an active presence, strategic supervision, and intentional monitoring to ensure student safety and engagement in rigorous learning (regardless of my role and its proximity to students)
  • Take ownership for the development of your craft (meet 1x/1-2 weeks with a manager, implement feedback, engage in active practice, etc.)
  • Commit to being prepared. Such as: preparing for One on One meetings (O3s)/coaching, preparing for meetings, PD, etc.
  • Meet professional obligations including and not limited to meeting deadlines and honoring schedules
  • Consistently leverage existing professional tools, including but not limited to Google Suite (google documents, etc.) and Microsoft Suite (including but not limited to your KIPP Philadelphia email, Groupme, Slack, and Microsoft outlook)
  • Maintain strong attendance each day and be on time to all responsibilities
  • Collaborate with colleagues and seek feedback in the spirit of continuous improvement
  • Reflect on professional practices to meet individual professional development goals
  • Actively participate in professional development, department meetings,
  • Actively school-wide and region-wide professional development
  • Serve as a positive, contributing member of the operations team, collaborating with colleagues to tackle common challenges and implement org and grade-wide initiatives
  • Share candid, solutions-oriented feedback with peers and leadership on a regular basis, assuring that feedback is shared directly with the intended recipient. Ensure that feedback is focused on improving outcomes and experiences for students
  • Assist with both student and staff recruitment and engagement—including events, home visits, calls home, and other related activities
  • Know that your role, professional development, region-wide meetings, etc., may require you to travel around Philadelphia to other KIPP campuses, our Regional Office, or other KIPP or PD events
  • Assist with other duties as assigned (such as but not limited to, lunch duty, arrival/dismissal duty, bathroom duty, school support duties, etc.)

Compensation
Additional Information
  • Salary is commensurate with experience. Ranging from $75,000 - $90,000
