Job summary

WVU Medicine is seeking a Procurement Support Specialist to manage operational and customer service aspects of group purchasing, entering purchase orders in Workday, and ensuring contract compliance. You will coordinate with vendors and Health System requisitioners, process EDI/GHX confirmations, expediting orders, and support daily procurement tasks across facilities.

Qualifications

• High School diploma or equivalent required.
• Two (2) years of experience in healthcare environment OR two (2) years of experience in data analysis or vendor management.

Responsibilities

• Serves as the first-line customer service contact.
• Purchase order entry and placement via the Workday ERP system with QA for accuracy and contract compliance.
• Resolve daily order issues/discrepancies with vendors and Health System requisitioners.
• Process EDI, GHX, and purchase order confirmations and distribute exception information for disposition.
• Expedite purchase orders to ensure timely delivery and proper closing in Workday.
• Assist contracting agents and management in improving procurement processes across facilities.
• Maintain knowledge of contracts to answer routine questions on products and pricing.
• Coordinate with Accounts Payable to resolve PO/receiving/invoicing discrepancies.
• Create capital purchase orders in Workday and coordinate down payments and schedules.
• Assist customers with Workday usage and data updates.
• Develop and maintain reports using MS Word and Excel.
• Attend meetings for contracting projects as directed.
• Issue and manage RFP/RFQ documents as directed.
