Description:
Manages the day-to-day operations of a large university programor department, including the supervision of staff employees,student workers, programs or processes.
- 1. Plans and develops procedures for administering a large orcomplex department or program.
- 2. Manages fiscal activities, including procurement and budgetanalysis.
- 3. Provides guidance to subordinate staff and evaluatesperformance.
- 4. Prepares abstracts, research reports, funding proposals,operations and procedure manuals, and other written material anddocumentation.
- 5. Creates and reviews reports of expenditures andactivities.
- 6. May administer grants and grant-related related communications,scholarships and other operations.
- 7. Develops, implements and maintains appropriate policies andprocedures.
- 8. May serve as property custodian for the department.
- 9. Performs other job-related duties as assigned.
MQ: Education: Requires a thorough understanding of boththeoretical and practical aspects of an analytical, technical orprofessional discipline; or the basic knowledge of more than oneprofessional discipline. Knowledge of the discipline is normallyobtained through a formal, directly job-related 4 year degree froma college or university or an equivalent in-depth specializedtraining program that is directly related to the type of work beingperformed. Experience: Requires a minimum of one (1) year ofdirectly job-related experience. Certification/Licensing: None.

Job Duties
- Coordinate and manage the calendar of the AVP and the HWBLeadership Team Calendar.
- Coordinate the ongoing professional development planning andtracking for HWB Leadership team members; coordinate and supportprofessional travel arrangements for the AVP.
- Manage the scheduling and planning of HWB full team connections,including chairing a committee of representatives from each of thedepartments planning and implementing the events.
- Manage and support shared Microsoft Teams environments (includingconnected OneDrives, SharePoints, Planners, calendars, etc.) forthe HWB Leadership Team, HWB Full Team, and other related subgroupsand committees.
- Support and assist in coordination of outreach and communicationefforts of members of the HWB Team in alignment with the HWB,Division, and Institutional priorities.
- Support the AVP with processing and management of budget,financial transactions, and reporting.
- Plan and oversee the procurement and management of equipment,supplies, promotional items, and materials to support the HWBTeam.
- Collaborate with advancement and other partners in proposalwriting and other materials to secure and report on grants,sponsorships, and philanthropic support for HWB.
- Support agenda development, documentation and management for HWBLeadership Team meetings, retreats and other functions.
- Contribute and support the Health and Wellbeing Leadership Teamto enhance program and operational collaborations across the HWBteam and with other stakeholders.
- Contribute to the development, implementation, assessment, andtracking of the HWB strategic plan; create reports for variousstakeholder groups.
- Support the exploration and strategy development to create morewellbeing at the University of Houston.
- Support the development and administration of policies andprocedures for HWB Team.
- Represent HWB Team and cultivate partnerships and collaborationswith stakeholders (including students, faculty, staff, andcommunity).
Education and Experience: Requires a bachelor’s degree and at least1 year of relevant experience.
Desired Qualifications
- Master's degree from an accredited university or college in a related field.
- Three (3) years or direct, job-related experience.
- Demonstrated knowledge and experience in administrative supportand coordination of activities for a leadership team.
- Knowledge and experience with technology tools such as Microsoft365 including Teams, Shared Calendars, SharePoint, Planner,etc.
- Project management and strategic planning knowledge andexperience.
- Strong communications skills and effectiveness in stakeholderengagement and collaboration.
- Strong organizational skills and innovative thinking.
- Understanding of, and commitment to, student success, health, andwellbeing.
