Job summary

The Economic Opportunity Council of Suffolk Inc. is seeking an administrative support role to assist the Health Home Program. You will work with Care Coordinators and the Director of Health Homes to maintain member records, create files, and manage office supplies.

Responsibilities include processing enrollments and disenrollments, coordinating mail, and handling front-desk duties. A HS diploma with two years of secretarial/program assistant experience is required; bilingual Spanish is preferred.

  • Ability to work as part of a team with coworkers and other colleagues as necessary.
  • Cultural sensitivity and the ability to relate to diverse groups, community agencies, schools, and the public.
  • Strong organizational skills with attention to detail.
  • Ability to multitask in a fast-paced environment.
  • Ability to follow directions and communicate well (oral and written).

Responsibilities

  • Take inventory and order office/kitchen supplies as needed.
  • Distribute ordered supplies and restock supplies as required in designated areas.
  • Provide office orientation for new staff (introduce to other teams, show/review exits, safety protocol).
  • Send a program welcome letter to new members and closing documents to disenrolled members.
  • Organize and deliver inter-office mail.
  • Send member satisfaction surveys.
  • Answer phones, greet visitors, scan, fax, and file as required.
  • Ability to lift, stand, bend, and sit to complete tasks.

MAJOR RESPONSIBILITIES

Provide program support to the Health Home Program by working with the Care Coordinators and Director of Health Homes.

  • Send a program welcome letter to new members and closing documents to members who have disenrolled
  • Organize and deliver inter-office mail
  • Send member satisfaction surveys
  • Answering Phones, greeting visitors, Scanning, faxing, and filing as required
  • Ability to lift, stand, bend, and sit to complete needed tasks
QUALIFICATIONS:
  • MUST HAVE Computer knowledge, including but not limited to Windows, Microsoft Office
  • Ability to work as part of a team with co-workers and with other colleagues as necessary
  • Cultural sensitivity and the ability to relate/work with diverse groups, community agencies, schools, and the general public

EDUCATION/TRAINING/EXPERIENCE
  • High School Diploma/GED Plus two years of experience as a secretarial or program assistant.
  • Bi-lingual (Spanish) preferred.
Requirements
  • A Valid Driver's License and Insured Vehicle.
  • PPD (TB test required with proof of results; no more than 1 year old)
