Qualifications

  • High school diploma or GED required or equivalent.
  • Certification from an accredited medical assistant program preferred.
  • Experience in reproductive health a plus.
  • Bilingual English/Spanish is an advantage.

Responsibilities

  • Greet and register patients, answer phones, schedule appointments, verify insurance, enroll patients in payor sources, and collect fees.
  • Document patient history in EHR per procedures and obtain signatures on consent forms.
  • Assist clinical staff during exams, prepare and clean exam rooms and equipment.
  • Maintain equipment knowledge and assist with inventory of medical supplies.
  • Perform laboratory tests and prepare specimens for external analysis under supervision.
  • Administer injections, venipuncture, and pelvic ultrasound under licensed staff supervision.
  • Dispense contraception and medications per clinician orders and ensure QA activities.

This is an excellent opportunity for a Health Care Assistant (40hrs/week) at our Madison South Family Planning Health Center. All Health Care Assistants receive paid training to learn how to deliver clinical care and complete medical administrative tasks.

Compensation: Health Care Assistant pay starts from $20.15 per hour. Additional $1.50 per hour for bilingual (English/Spanish) skills. Pay is determined by experience and internal equity.

Purpose of Position

Assists patients seeking sexual and reproductive health care by interviewing, screening, educating, and preparing them for their appointment. As a member of the health care team, the HCA provides medical and administrative support to ensure efficient clinic operation. The HCA facilitates clinic flow, ensures availability of patient care supplies, performs laboratory and screening procedures, participates in the implementation of patient care plans, and performs front desk duties.

Education and Experience
  1. High school diploma, GED, or equivalent.
  2. Certification from an accredited medical assistant technical program is preferred.
  3. Experience in reproductive health, family planning, obstetrics, gynecology, or related medical/surgical experience is a plus.
Physical Requirements

The position requires hearing, talking, handling, and grasping regularly. It may require lifting up to 30 pounds and close vision reading. The candidate must be able to operate a computer, telephone, fax, copy machine, calculator, and medical equipment.

Working Conditions

The role is performed in a medical office environment with frequent interruptions. The noise level is usually moderate. The position may involve exposure to blood or blood‑borne pathogens and requires OSHA training. Availability to work flexible hours, evenings, weekends, and travel to other PPWI locations is required. A valid driver’s license, auto insurance, and reliable transportation may be necessary for occasional regional or statewide travel.

Essential Duties and Responsibilities
  • Performs front office duties: greeting and registering patients, answering phones, scheduling appointments, verifying third‑party insurance, enrolling patients in payor sources, and collecting patient fees.
  • Interviews, educates, and documents patient history in EHR in compliance with policies and procedures. Obtains necessary signatures on consent forms.
  • Assists clinical staff during exams and procedures, provides patient support, and prepares and cleans exam rooms and equipment.
  • Maintains knowledge of equipment operations and assists with medical supply inventory management.
  • Performs and documents laboratory tests and results: urine pregnancy testing, hemoglobin, HIV testing, point‑of‑care urinalysis, Rh testing, and alerts licensed staff to abnormal results.
  • Prepares specimens for external laboratory analysis.
  • Performs vital signs, IM injections, phlebotomy, IV placement, and pelvic ultrasound under direct supervision of licensed staff.
  • Stays current on sexual and reproductive health care, community resources, agency protocols, referral procedures, and all Planned Parenthood services and programs.
  • Dispenses contraception and medication according to clinician orders and frequency tables, administers ordered medications or vaccines, and performs quality assurance activities.
  • Follows laboratory requirements defined by PPFA and PPWI Medical Standards and Guidelines.
  • Complies with all safety and emergency policies and procedures.
  • Performs other duties as assigned.
