Job summary

Casa de las Campanas in Rancho Bernardo, San Diego, seeks a Guest Services & Admissions Coordinator to coordinate hospitality services for guests and residents and support the Admissions team with new resident admissions. The role ensures a welcoming, supportive experience for residents, families and visitors while collaborating with the interdisciplinary team.

Qualifications

• High school diploma or GED required; bachelor’s degree in health services or related field preferred.
• Minimum 1 year experience in healthcare, hospitality, or service delivery.
• Experience in rehabilitation, skilled nursing, or assisted living preferred.
• Strong customer service and communication skills.
• Ability to build strong interpersonal relationships with residents, families, and staff.
• Excellent problem-solving and decision-making skills.
• Ability to manage multiple tasks with professionalism and attention to detail.
• Maintain confidentiality and comply with HIPAA, Fair Housing Act, and ADA guidelines.

Responsibilities

• Welcomes new residents and family members; provides orientation to services, amenities, and expectations during the first 24–48 hours of admission.
• Regularly checks in with new residents and families during the first 5–7 days.
• Communicates resident and family feedback to the interdisciplinary team.
• Works with admissions to ensure completion of contracts, consent forms, and documentation within 48 hours.
• Ensures insurance information is collected and maintained.
• Assists Admissions Director with tours and admissions processes as needed.
• Coordinates hospitality services requested by residents and guests.
• Manages difficult customer situations professionally and promptly.
• Responds to guest requests while maintaining privacy and confidentiality.
• Coordinates room changes and moves within the community.
• Adheres to standard precautions and safety procedures.
