Job description

Location Overview

Join our team in Amangiri. Blending into untouched red-rock country on over 900 acres of the Colorado Plateau, Amangiri and its satellite, Camp Sarika, reflect dual aspects of this ancient desert landscape. A serene sanctuary, Amangiri’s 34 modernist suites, Aman Spa and mesa-embracing pool echo the tranquillity of the canyons. Camp Sarika, with its 10 tented pavilions, answers the region’s call to adventure. An unrivalled base for exhilarating expeditions and fireside connection, the camp has its own restaurant, lounge and spa suites.

Role

The Groups and Events Coordinator will be responsible for overseeing all aspects of event planning, from initial consultation to post-event follow-up. This includes working with clients, managing vendors, coordinating event logistics, and ensuring the smooth execution of conferences, weddings, corporate meetings, and private dinners. You will play a key role in bringing the client’s vision to life, providing exceptional service, and ensuring a seamless experience.

Responsibilities
  • Assist the Event Manager in organizing, planning, and overseeing all event details. This includes managing timelines, room configurations, BEO orders, audiovisual needs, décor, and more.
  • Ensure event setups are flawless and align with guest expectations.
  • Communicate with vendors (event planners, florists, AV technicians, etc.) to ensure timely service delivery and that all vendor requirements are met, maintaining hotel service standards.
  • Work closely with clients to understand their event goals and provide tailored solutions. Ensure their vision aligns with the hotel’s brand and deliver a high level of customer service throughout the planning process.
  • Work on designing event layouts, creating visually appealing setups, and collaborating with vendors to execute the client’s vision.
  • Supervise event setup, execution, and breakdown. Be present on the event day to manage flow, resolve issues, and ensure guest satisfaction.
  • Coordinate with hotel staff to meet all guest needs, ensuring a seamless event experience from check-in to on-site service.
  • Oversee event logistics including setups, guest arrangements, transportation, and both on-site and off-site needs.
  • Handle event-related correspondence, manage bookings, update reports, create group room blocks, and maintain accurate records of event details.
  • Follow up with client inquiries within 24 hours and ensure all event-related documents (BEO’s, rooming lists, deposits, final billing) are collected and updated.
  • Work closely with all departments, including Front Office, Food & Beverage, Housekeeping, Engineering, and Guest Services, to ensure seamless event execution and maintain high service standards.
Requirements
  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field (preferred).
  • Minimum of 3 years of experience in event planning, coordination, and execution.
  • Excellent organizational skills, attention to detail, and the ability to multitask effectively.
  • Strong communication and interpersonal skills with a focus on guest satisfaction.
  • Flexibility to work long, irregular hours, including evenings, weekends, and holidays, as required by event schedules.
  • A guest-first mentality with the ability to anticipate and address client and guest needs.
  • Proficient in Microsoft Office, event management, and diagramming software.
  • Must complete TIPS (alcohol service) and food handlers training as required by the State of Utah.
  • Must comply with all AMAN policies and procedures.
  • Have a familiarity with food and beverage service and hotel operations.
  • You must be able to stand, walk, bend, stoop, and lift for sustained periods.
