Located in Downtown LA’s cultural corridor, Conrad Los Angeles is the city’s newest luxury destination, featuring over 300 rooms, a world-class spa, a 16,000-square-foot rooftop pool deck, 12,000 square feet of event space, and three dynamic dining experiences—including our signature restaurant, San Laurel, all in partnership with Chef Jose Andres' award-winning restaurant group, JoseAndresFoodGroup.

In this role as Group Reservation Coordinator, you will be responsible for the efficient operation of in-house reservations through the selling of guest rooms and maximization of revenues. You will liaise between clients and the hotel team, acting as the main point of contact for group room reservations, and perform administrative and inventory work.

The ideal candidate must have a minimum of two (2) years of experience in customer service and one (1) year of experience in hotel front office, sales, or reservations. A high school diploma or equivalent is required. Previous experience with Delphi or Hilton OnQ is strongly preferred. You should be able to effectively deal with internal and external guests, demonstrating patience, tact, and diplomacy. Basic math skills, including the use of a calculator and Excel, are necessary. You must be able to listen and comprehend English effectively, and be able to bend, stoop, walk, lift/push/pull up to 20 lbs with or without reasonable accommodation.

What will I be doing?

  • Create group masters in OnQ PMS.
  • Process and handle group rooming lists and reservations by inputting data into the system.
  • Monitor Group Blocks after entry, and update Group Pickup Reports for review and analysis in weekly meetings.
  • Ensure the Master account includes attrition, meeting room rental, porterage, housekeeping fees, audiovisual requests, and all other miscellaneous charges before billing.
  • Attend weekly resume meetings to review blocks and pick-up.
  • Participate in weekly Revenue Management, Pre-Con, Post-Con, and other designated meetings as the reservations point of contact.
  • Monitor and follow up on all group cut-off dates. Attend Sales Daily Connect each morning.
  • Assist with Conventions & Business Travel reservations as needed.
  • Maintain and enter accurate rate and inventory information in Delphi, OnQ R&I, GRO, OnQ PMS, and in a timely manner. Monitor group inventory in CRS.
  • Assist with Room Inventory Management & balancing related to group blocks.
  • Communicate and verify information between Meeting Planners, Housing Bureaus, Sales, Events, and Front Office. Audit group reservations for accuracy in OnQ PMS, checking for special requests, coding issues, and billing requirements. Ensure all group room statistics reports are accurate and consistent.
  • Maintain all revenue management systems, including OnQ RMS, GRO, OnQ PMS, Passkey, and Delphi.
  • Collaborate with Sales, Front Office, Housekeeping teams as necessary. Provide clerical support and assistance to management as needed.
  • Perform other duties as assigned.
