Job summary

Pebble Beach Company is seeking a Group Coordinator to assist in generating and converting profitable transportation services through product knowledge, sales techniques and building relationships with clients. Support dispatch team when necessary.

You will manage transportation scheduling, coordinate with resorts, prepare proposals, and maintain records to ensure compliance with credit and accounting procedures, with weekend/holiday coverage as required.

Qualifications

• Requires flexible hours including weekends and holidays.
• Proficient in Microsoft Office (Excel, Word).
• Valid California driver’s license with 2 points or less.

Responsibilities

• Sell transportation services using product knowledge and client relationships.
• Send proposals and quotes aligned with standards and guest requirements.

• Represent the transportation department at meetings and with other departments.

• Uses resort knowledge in order to effectively sell transportation services.
• Send out proposals and quotes in line with departmental standards and tailored to guest requirements.
• Meets and acts as a liaison with clients to discuss all aspects of transportation services using up selling and suggestive selling techniques.
• Manages transportation schedule to ensure the accuracy of booked transportation.
• Ensures all resorts standards are adhered to in relation to credit and accounting procedures.
• Assist in performing any reasonable additional task in order to ensure that the client’s experience is a once in a lifetime experience, every time.
• Maintain contact with previous clients for future business opportunities.
• Assist Transportation Manager by providing data for annual budget.
• Work within Transportation rate structure as directed by Transportation Manager.
• Respond to resort and departmental changes, industry trends and government legislation as required.
• Process departmental invoices for payment in timely manner or as required monthly.
• Represent the transportation department when required attending pre-conference meetings and other meetings as assigned by Transportation Manager.
• Assist Conference Services and the Sales department in providing exceptional transportation services to guests and clients.
• Maintain and update departmental files, various project files and other individual filing systems in a timely manner (monthly).
• Maintain calendar and schedule and set up meetings and appointments as needed.
• Create and distribute departmental reports as needed.
• Weekend and holiday office coverage as required.
• Dress and grooming standards must be in compliance with company guidelines.
• Comply with all Pebble Beach Company and departmental policies regarding safety guidelines, procedures for performing tasks, using chemicals and operating equipment.
• Knows models and integrates Pebble Beach Company culture (mission, values and standards).

Absolute Required Skills

• Working knowledge of Pebble Beach Resort and the Monterey Peninsula.
• Able to work flexible hours including weekends, holidays and overtime.
• Proficient computer skills to include but not limited to Microsoft Office, Excel, Word.
• Have and maintain a valid California Driver’s License with 2 (two) points or less.

Desired Skills

• Knowledge of hotel systems helpful.
• Minimum 1-year hotel or resort experience preferred.
