Job summary

The Grants & Operations Manager at Trefler Foundation in Needham, MA offers leadership of grants administration and operational support to senior leadership. Qualifications

  • Bachelor's degree or equivalent required.
  • 5+ years of relevant experience, including 2+ years at a private foundation or similar organization.
  • Experience with grants management systems (Foundant preferred).
  • Strong analytical and data management skills.
  • Excellent written and verbal communication skills.
  • Proficiency using a MacBook.

Responsibilities

  • Own and administer the Foundation's grants management system (Foundant).
  • Lead development, refinement, and optimization of grants workflow processes; continuously improve the GMS.
  • Design and maintain dashboards, reports, templates, and forms.
  • Ensure data accuracy, compliance, and strong internal controls across all grant activities.
  • Manage grant cycles, timelines, and payment workflows.
  • Support the President in advancing strategic priorities and prepare materials for trustees' meetings.
  • Assist with calendar management and scheduling.
  • Draft communications for internal and external stakeholders.
  • Support event planning and logistics.

Grants & Operations Manager

Needham, MA (Hybrid)

Our client, Trefler Foundation, is a Boston-area philanthropic organization established in 1997 by Pam and Alan Trefler. The Foundation supports innovative, community-driven initiatives focused on educational opportunities, healthcare access and economic mobility, with a strong emphasis on underserved communities in and around Boston. The Grants & Operations Manager plays a pivotal role in advancing the Foundation's mission by leading the administration of grantmaking operations and supporting key organizational initiatives.

Reporting directly to the President and partnering closely with the Vice President of Program & Operations, this highly visible position serves as the primary steward of the Foundation's grants management system (GMS) and related workflows.

In addition to grants administration, the Grants & Operations Manager provides operational and project support to the President, helping to advance organizational priorities and ensure the Foundation operates efficiently and effectively.

This role is ideal for a highly organized, proactive professional who enjoys building systems, managing details, and driving continuous improvement. Success in this position requires a balance of strategic thinking and hands‑on execution, along with the ability to thrive in a collaborative, mission‑driven environment.

Key Responsibilities:
  • Own and administer the Foundation’s grants management system (Foundant)
  • Lead ongoing development, refinement, and optimization of the grants management workflow processes and procedures; continuously improve the GMS
  • Design and maintain dashboards, reports, templates, and forms
  • Ensure data accuracy, compliance, and strong internal controls across all grant activities
  • Manage grant cycles, timeline, and payment workflows
  • Respond to internal and external data requests and produce insights and reporting
  • Support the President in advancing strategic priorities
  • Prepare materials for trustees and leadership meetings
  • Assist with calendar management and scheduling
  • Draft communications for internal and external stakeholders
  • Support event planning and logistics
Qualifications:
  • Bachelor's degree or equivalent combination of education and experience required
  • 5+ years of relevant professional experience, including 2+ years at a private foundation or other comparable organization
  • Strong experience with databases or grants management systems (Foundant preferred)
  • Demonstrated success managing projects from planning through execution
  • Strong analytical and data management skills
  • Excellent written and verbal communication skills
  • Proficiency using a MacBook
Compensation/Benefits:
  • The salary range for this role is $100,000-$130,000. Salary will be determined based on experience, education, and other factors.
  • 100% employer-paid medical, dental, vision, and short- and long-term disability insurance
  • 403 (b) retirement plan with employer match
