Job description

Summary:

We are seeking a Grants Manager who will help hundreds of animal rescues and shelters across the country do more for animals. This person will be an integral part of a highly collaborative team at one of the nation’s largest animal welfare grant makers. Since 2001, the ASPCA has given more than $235 million in grants to more than 3,500 animal shelters, municipal and governmental agencies, rescue groups, universities, and other mission-aligned organizations nationwide to further the ASPCA’s programmatic goals. These goals include ending the euthanasia of dogs, cats, and equines, except when it is the more humane and responsible option, and ending systems and practices that perpetuate animal cruelty.

We are seeking a Grants Manager whose primary focus will be to support a large-scale grantmaking program with a significant external partner. The Grants Manager is a member of the organization’s Grants Team and manages and supports the grant lifecycle for each of their assigned grant requests. Their responsibilities include working daily within the grantmaking databases (Fluxx and Airtable), providing timely, high-quality support to all internal and external clients (grant applicants; grantees; ASPCA staff), and working with other members of the Grants Team to facilitate efficient grantmaking processes and support team operations and organizational initiatives.

This remote-based position (which requires travel, as described below) is open to all candidates based within the United States. This position can also be performed from the ASPCA’s midtown location in New York City.

Compensation & Benefits

The target hiring range is based on where the employee works, which for remote roles is the employee’s primary location of residence, and its respective cost of labor. Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary ranges for this role are set forth below and may be modified in the future.

  • Zone 1: $58,000 - $63,000 annually

  • Zone 2: $64,000 - $69,000 annually

  • Zone 3: $70,000 - $75,000 annually

Responsibilities:

Responsibilities will include, but are not limited to:

Manage External Partner Grants Program (80%)

  • Represent the ASPCA by providing outstanding service including technical support, problem-solving, follow-up and other guidance as needed to program participants in initiating and completing grant applications and fulfilling grant reporting requirements .

  • Screen grant applications for missing or incomplete data; conduct due diligence and ensure compliance with ASPCA standards; manage pre- and post-grant processes including application review, approval and contracting, grant payments, grantee reports, and grant close-outs.

  • Maintain and regularly update a Standard Operating Procedure (SOP) for the program application submission and review process. Identify areas for improvement, propose solutions and implement changes.

  • Maintain, update, and deliver grant application due diligence training to Grants Team.

  • Support Grant Officers throughout the grants lifecycle.

  • Work closely with Cause Partnership & Events and Finance teams to ensure smooth operations of grant program.

  • Track grant-related questions that get escalated to leadership and ensure they are resolved in a timely manner.

Grants Administration and Support (20%)

  • Work closely with other members of the Grants Team to ensure consistency in grantmaking and alignment of grants management practices.

  • Identify gaps and propose solutions for grants policies and procedures, maintaining and updating Standard Operating Procedure (SOP) documentation as needed and directed.

  • Process grant portal registrations and monitor grants mailbox.

  • Support other grantmaking and projects as needed and directed.

Education and Experience Requirements:

  • High School diploma, GED, or equivalent professional experience required

  • 3 years’ customer service and/or customer support experience required

  • Experience with animal welfare, animal shelters, animal rescue and/or animal care highly preferred

  • Experience creating forms and views within Airtable or other database applications highly preferred

  • Experience manipulating and analyzing data in Excel (or similar program) highly preferred

  • Experience making grants preferred; experience writing and/or applying for grants a plus

  • Experience using a grants management database (like Fluxx) a plus; if no experience using a grants management database, experience using Customer Relationship Management tools (CRMs) also a plus

Skills and Qualifications

  • Ability to provide high levels of customer service to a diverse group of grant applicants, many of whom may be new to the grant application process and grantee experience

  • Collaborative team player with strong interpersonal skills

  • Self-guided and motivated by working toward goals and achieving results; requires minimal supervision while still working closely with other members of the team

  • Proficient in a variety of computer programs, including being able to work with database applications (like Airtable and Excel)with an affinity for adopting new technology quickly

  • Adept at developing and refining processes

  • Strong communication skills including the ability to professionally represent the ASPCA in oral and written communications with other organizations and individuals outside the ASPCA.

  • Highly organized with a strong attention to detail – able to consistently bring attention even when engaged in repetitive tasks

  • Ability to cultivate strong relationships with internal and external stakeholders

  • Ability to work well under pressure, adapt to changing circumstances, and juggle multiple priorities simultaneously

  • Brings empathy and compassion to the grant-making process with the understanding that difficult decisions will sometimes be required to maintain our focus on the big picture
