JOB SUMMARY:

The Grants Manager is responsible for managing all grant activity for the agency including foundation funds, United Way funds, and government contracts. The Grants Manager ensures grant funding is optimally maintained, with no major losses or interruptions in funding receipts. This role is responsible for creating and maintaining each year's grant plan and goals and is responsible for overseeing the research, writing, editing, reporting, and ensuring managers are aware of grant requirements and practices necessary to maintain grant funding.

PRIMARY RESPONSIBILITIES:
Grant Management
  • Collaborates with VP of Development, President & CEO, and program leaders to forecast future deficits and identify needs for new or increased funding.
  • Creates the plan and timeline for obtaining necessary funding. i.e., identifying untapped interest from current funders, researching new grant sources, or identifying ways to transfer funds from one program to another.
  • Determines whether each new grant request is necessary and appropriate for the agency or program. Manages staff expectations regarding feasibility of requests. Ensures grant requests align with the PCCT mission, do not exceed revenue necessary to cover expenses, and do not commit the agency to unsustainable activities.
  • Observes program and agency activities to determine whether PCCT is meeting standards set by funders and that we are adhering to contracted stipulations.
  • Maintains consistent contact with leadership staff to discuss grant requirements or obtain information regarding program changes and achievements that should be relayed back to funders.
  • Works with program leaders to ensure outcomes are being measured, tracked, and reported. Discusses outcome results with program directors to understand performance so that information can be shared with funders.
  • Holds a monthly grants meeting for leadership staff to provide updates on funding, highlight potential issues, and maintain transparency on the receipt and expenditure of agency-wide funds.
  • Maintains grants database for efficient access to all grant information and government contracts including contacts, due dates, application/reporting requirements, and notes.
  • Maintains a multi-year grant timeline to ensure agency receives funding in advance of need and to ensure grants are spent and finalized in a timely manner.
  • Serves as the main contact for grant sources and government agencies. Fields questions from funders, attends funder meetings/site visits as needed.
  • Manages and supports the Grant Writer role.
Research
  • Research companies, foundations, and government agencies to increase sources of funding.
  • Maintains database for potential grant funding including notes on prospective matches.
  • In collaboration with the Director of Data Management, collects annual demographics and statistics needed for grant writing.
  • Regularly researches peer reviewed evidence in the field of child maltreatment and infant early childhood mental health to create knowledgeable and compelling requests. Stays abreast of trends in the field of mental health and fundraising.
  • Regularly attends meetings and training related to funding, programs, and topical research.
Other
  • Demonstrates the agency values of compassion, respect, learning, adaptability, and achievement.
  • All other duties as assigned by the VP of Development.
Requirements
REQUIRED QUALIFICATIONS:
  1. Bachelor's degree in business, nonprofit management, English or related field.
  2. At least three years' experience in grant writing and demonstrated success in obtaining program funding through grants.
  3. Excellent organizational, writing and communication skills.
  4. High skill level across multiple platforms including Word, Excel, Adobe, and cloud-based software.
  5. Culturally sensitive to clients.
  6. Supportive of volunteer roles in agency.
PREFERRED QUALIFICATIONS
  1. Solid understanding of nonprofit financial documents and experience with developing grant budgets.
  2. Supervisory experience.
  3. Experience with excel spreadsheets.
  4. Solid understanding of how nonprofits function and rules for maintaining nonprofit status.
