Grant Manager
Crime Victim Center (CVC)
is seeking an experienced and highly organized Grant Manager to oversee the agency’s diverse portfolio of federal, state, local, and private foundation funding. The Grant Manager is responsible for the full lifecycle of CVC’s grants, including funding research, proposal development, award administration, financial monitoring, reimbursement requests, reporting, compliance, funder communication, audit preparation, and grant closeout.
This position works closely with the Executive Director, program directors, and other staff to ensure grant-funded programs are implemented in accordance with approved applications, budgets, contracts, regulations, and funder requirements. The successful candidate should have significant experience managing government and private grants and be comfortable independently managing competing deadlines, researching requirements, identifying compliance concerns, and communicating directly with funders.
Essential Responsibilities
Grant Administration & Compliance
- Manage grants throughout the full award lifecycle, from application through closeout.
- Review and interpret grant agreements, contracts, approved budgets, funding announcements, special conditions, and other award requirements.
- Ensure grant activities and expenditures comply with applicable funder requirements.
- Maintain working knowledge of federal grant requirements, including 2 CFR Part 200 (Uniform Guidance), when applicable.
- Monitor grant-funded staffing, program activities, budgets, outcomes, and deliverables throughout each award period.
- Coordinate and submit budget modifications, project changes, extensions, personnel changes, and other formal requests as needed.
- Maintain complete and organized grant records in accordance with funder and agency record-retention requirements.
- Identify potential compliance concerns and work with leadership and appropriate staff to resolve them.
Financial Grant Management
- Review grant expenditures against approved budgets.
- Monitor grant balances and spending rates to identify potential over- or underspending.
- Review payroll allocations and shared expenses charged to grant awards.
- Work collaboratively with accounting personnel to reconcile grant expenditures with agency financial records.
- Prepare and submit monthly, quarterly, or other required reimbursement requests, invoices, drawdowns, and financial reports.
- Maintain supporting documentation for expenses charged to grant awards.
- Identify when budget adjustments or prior funder approval may be required.
- Assist leadership and accounting personnel with grant-related financial questions.
Grant Writing & Funding Development
- Research federal, state, local, corporate, foundation, and other funding opportunities that align with CVC’s mission and programs.
- Evaluate potential funding opportunities for eligibility, mission alignment, organizational capacity, administrative burden, financial benefit, and sustainability.
- Develop, write, edit, and submit competitive grant applications and renewal requests.
- Work with leadership and program staff to develop project narratives, goals, objectives, outcomes, budgets, and implementation plans.
- Gather and maintain commonly requested agency documentation for grant applications.
- Maintain a master grant calendar containing application, renewal, reimbursement, reporting, monitoring and other major deadlines.
- Track submitted applications, award decisions, and future funding opportunities.
Programmatic Reporting Data
- Maintain a clear understanding of the goals, objectives, deliverables, and outcome measures associated with each grant.
- Communicate grant requirements and reporting expectations to program staff.
- Coordinate with program staff to collect accurate service data, outcomes, accomplishments, challenges, and other information required by funders.
- Review program data for accuracy and consistency before submission.
- Prepare and submit required narrative, statistical, and programmatic reports.
- Monitor progress toward grant goals and identify potential performance concerns during the award period.
- Work with programs to address gaps in data collection or outcome tracking.
Funder Communication
- Serve as a primary grant-related contact for government agencies, foundations, and other funders.
- Maintain professional relationships with grant monitors, program officers, foundation representatives, and other funding partners.
- Request clarification from funders when grant requirements are unclear.
- Communicate significant staffing, program, budget, or implementation changes when required.
- Maintain documentation of important funder correspondence, approvals, and decisions.
- Participate in funder meetings, technical assistance sessions, monitoring calls, and other required activities.
Monitoring, Audit Record Management
- Maintain organized and complete electronic grant files throughout the life of each award.
- Coordinate responses to grant monitoring requests, desk reviews, financial reviews, and site visits.
- Gather and organize grant-related documentation needed for the agency’s annual financial audit and grant audits, when applicable.
- Work collaboratively with leadership, accounting personnel, and external auditors to provide requested grant records.
- Coordinate responses to grant-related findings or corrective-action requirements.
- Ensure grant records remain accessible and organized throughout applicable retention periods.
Grant Systems Portals
Manage grant-related activities through various funder systems and portals, which may include:
- Grants.gov
- JustGrants
- WebGrants
- Federal and state reimbursement/payment systems
- Foundation application portals
- Other funder-specific grant management systems
- Maintain appropriate organizational registrations, user access, roles, and permissions as needed.
Internal Coordination
- Meet with agency leadership and program directors as needed to discuss funding, spending, reporting, and compliance.
- Provide guidance to staff regarding grant requirements and allowable activities.
- Establish internal timelines that allow adequate time for review before external deadlines.
- Support agency leadership in long-term funding planning and grant strategy.
- Maintain continuity of grant knowledge through organized records and written procedures.
Required Qualifications
- Bachelor’s degree in nonprofit management, social work, public administration, business, finance, communications, or a related field; equivalent relevant professional experience may be considered.
- Significant professional experience in grant writing and grant management.
- Experience managing state and/or federal government awards.
- Demonstrated ability to manage multiple grants and competing deadlines simultaneously.
- Strong writing, editing, research, organizational, and analytical skills.
- Ability to interpret grant contracts, regulations, budgets, and funding requirements.
- Experience preparing reimbursement requests, grant reports, and supporting financial documentation.
- Strong attention to detail and commitment to accurate documentation.
- Ability to work independently while collaborating effectively with leadership, program staff, accounting personnel, and external partners.
- Proficiency with Microsoft Office and Google Workspace.
Preferred Qualifications
- Five or more years of professional grant management experience.
- Experience independently managing a diverse grant portfolio.
- Experience with federal grant requirements and 2 CFR Part 200.
- Experience reviewing QuickBooks reports, General Ledgers, payroll records, and grant expenditure reports.
- Experience with Grants.gov, JustGrants, WebGrants, or similar grant management systems.
- Experience working in a nonprofit or victim-services organization.
- Grant Professional Certification (GPC) or related credential is a plus.
