The Grants Database Manager is responsible for the Grants Management System (GMS) and for assuring operations are aligned with generally recognized grants management best practices as well as DC Bar Foundation (DCBF) standards. The Manager will play a key role in developing and executing the lifecycle of all grant programs through the custom Salesforce module employed by the Foundation. As DCBF works to become more centralized with its data, this role will be instrumental in helping us grow in our data practices. The Grants Database Manager is a core team member who will manage the GMS and use grantee data to help demonstrate the impact of the Foundation’s investments.

The ideal candidate for this role is someone who has the knowledge of and has used the listed technologies, ideally acting as a project leader. The ideal candidate brings with them enthusiasm for supporting others with less technical skills and experience, enjoys connecting with others and working as part of an engaged team. A commitment to continuous improvement is critical; evidenced in this role by ongoing review and evaluation of existing data, and development of data cleaning and analysis strategies to improve and maximize data usage. Experience working in a small organization and with grants management is a plus.

  • Serve as system owner for the Grants Management System (GMS), including vendor management, administrative and quality oversight, and content control with assistance from the Technology and Data Governance Specialist.
  • Set up, manage, and establish the protocols for the GMS, including training and supporting the Programs Team and providing support to Grantee Partners
  • Responsible for software-related activities in programming, process workflow configuration, data management, data analysis, and reporting for the grants management system.
  • Manage third-party software integrations such as DocuSign, FormAssembly, and Tableau.
  • Provide GMS-related administrative support to the Programs Team throughout the life cycle of each grant round including preparing, auditing, and monitoring application submissions, providing technical assistance to applicants and grantees, coordinating the applications review process, preparing and monitoring grant award documentation, grant adjustments, grant extensions, preparing and submitting invoices for grant payments, and scheduling and monitoring grantee report submission.
  • Utilize data in the GMS to create dashboards, ad hoc reports, mapping, graphs, and other visualizations for various internal and external stakeholders.
  • Provide general operational support including the organization of files, creation of presentation materials, and data entry
  • Ensure integrity of data, in accordance with legal and regulatory requirements, as well as DCBF’s processes and requirements, including leading data clean-up initiatives (deduplication, ensuring data accuracy, etc.).
  • Demonstrate continuous efforts to improve operations, streamline processes, and work cooperatively to execute programs effectively, addressing issues necessary to enhance desired outcomes
  • Keep abreast of new Salesforce features, functionality, and integrations to provide recommendations for process improvements

MINIMUM REQUIREMENTS
Education & Experience
  • Experience working in a nonprofit or foundation environment, preferably supporting grantmaking functions.
  • Knowledge of nonprofit grantmaking processes and procedures, including participation in at least one full grant cycle with multiple applicants.
  • Bachelor’s degree or equivalent level of work experience.
  • Minimum of four years of progressive experience handling responsibilities comparable to those outlines for this role.
Technical & Systems Expertise
  • Strong experience with Salesforce, including custom modules, workflow configuration, reporting, and system administration.
  • Proficiency in data querying, reporting, analysis, and dashboard development.
  • Strong data management skills including data cleaning, deduplication, data integrity protocols, and database governance.
  • Understanding data privacy, security, and compliance requirements.
  • Proficiency with Microsoft Office Suite and Adobe Acrobat.
Data Strategy & Continuous Improvement
  • Demonstrated commitment to continuous improvement through evaluating systems, processes, and data practices.
  • Ability to develop data analysis strategies that support organizational learning and impact measurement.
  • Experience supporting organizational data centralization or data maturity initiatives.
