Job summary

The University of Texas at Austin is seeking a Grants & Contracts Specialist to support proposal preparation and submission to the Office of Sponsored Projects (OSP) and to manage awards and subawards within the Walker Department of Mechanical Engineering.

The role collaborates with the Department Research Administrator team and ME Finance for financial reporting, ensuring compliance with federal, state, and institutional regulations.

Qualifications

• Bachelor's degree in business, public administration, research administration, or related field.
• Three (3) years of experience supporting research administration.
• Experience with federal, state, and institutional regulations governing sponsored research.
• Experience using electronic research administration systems such as UTRMS, Cayuse, Grants.gov, NSF Research.gov or FastLane.
• Strong organizational and communication skills with ability to manage multiple deadlines and collaborate with faculty, staff, and external partners.

Responsibilities

• Collaborate with the ME Finance Team on financial reporting and reconciliation.
• Process and submit non‑funded agreements (DUAs, NDAs, CDCPs).
• Support sub‑award management and coordination with external institutions.
• Manage cost‑share documentation.
• Provide oversight on external and internal sponsored projects.
• Create re‑budgets as awards are renewed or at other ad‑hoc times.
• Assist PI/faculty with RPPRs, Just‑In‑Time documentation, and sponsor‑required reports.
• Support PI with monitoring and ensuring compliance with federal, state, and institutional regulations.
• Perform proposal and pre‑award activities for faculty in the Walker Department of Mechanical Engineering.
