Job summary

The University of Texas at Austin invites applications for a Contracts and Grants Specialist in the Department of Earth and Planetary Sciences, UT Main Campus. The role provides pre- and post-award research administration support, coordinating budgets and proposals and ensuring compliance with sponsor requirements across multiple grants and contracts.

You will liaison with the Office of Sponsored Projects and Discovery to Impact, prepare documentation for submissions, manage post-award reporting

Qualifications

• Bachelor's degree and 3 years of experience in higher education, non-profit administration, or a related field.
• Ability to multitask and meet overlapping deadlines.
• Initiative, creativity, and problem-solving skills.
• Attention to detail and following instructions with minimal supervision.
• Ability to manage multiple projects in a team-based environment.
• Excellent written and spoken communication skills.
• Proficiency with Microsoft Excel and Adobe Acrobat Pro.

Responsibilities

• Support PIs through each stage of grant and contract proposal development and submission, including budgets andJustifications.
• Check proposal formatting, ensure sponsor compliance, and upload sections by deadlines.
• Prepare UT forms for review by OSP or DTI and act as liaison to ensure timely approvals.
• Assist PIs with post-submission materials, including budget revisions and supporting documentation.
• Support post-award requirements, including reports and expenditure planning.
• Coordinate outgoing subaward processes for new awards and modifications.
• Maintain proposal and award records and provide regular reporting to PIs and department leadership.
• Other related duties as assigned.
