Nature of Work

Under general supervision, the Grants Compliance Coordinator supports the Office of Shared Administration (OSA) in ensuring adherence to federal and state regulations governing grant activities. This position works within the framework of the Code of Federal Regulations (CFRs) and West Virginia State Code to help implement new processes and procedures resulting from recent legislation.

Key responsibilities include:

  • Tracking and reviewing grantee monitoring submissions to ensure compliance with federal and state regulations
  • Identifying and resolving discrepancies, errors, and compliance issues through direct contact with grantee management, independent audit firms, and internal bureaus
  • Providing technical assistance to grantee agencies and serving as a liaison to independent public accountants, auditors, and other external partners
  • Preparing reports and written correspondence for distribution to state agency personnel related to compliance with CFRs and statewide accountability requirements
  • Assisting with the processing of stop payment orders and debarments for non-compliant grantees
  • Producing accurate monitoring reports from the CRM tracking system and updating relevant information in wvOASIS

This position plays a key role in supporting financial accountability and ensuring that state-administered grant programs operate in compliance with all applicable laws and regulations.

Minimum Qualifications

Training: Graduation from an accredited college or university. Preference may be given to candidates with a major in the area of public or business administration, accounting, industrial relations, communications or related field.

Substitution: Additional qualifying experience as described below may be substituted on a year-for-year basis for the required training.

Experience: One year of full-time or equivalent part-time paid employment in a technical or advanced clerical position providing administrative services such as accounting, budgeting, project monitoring and reporting, personnel, or procurement and property. Experience must have been at the Office Assistant 3 or Accounting Technician 3 level or higher.

Substitution: Successful completion of graduate study in an accredited college or university in one of the above fields may be substituted for the required experience on a year-for-year basis.
