Grants Administrator

Location: Plano, TX Employment Type: Full-Time | Direct Hire Work Arrangement: Hybrid | 4 Days Onsite, 1 Day Remote Onsite Schedule: Monday, Wednesday, and Friday required onsite; employee may select the fourth onsite day Salary: $95,000–$120,000 annually

Position Overview Wheeler Staffing Partners is seeking an experienced Grants Administrator for a direct-hire opportunity in Plano, TX. This position is responsible for developing and managing an enterprise-wide grant strategy to secure external funding that supports organizational priorities, growth initiatives, and expanded access to behavioral healthcare services. The Grants Administrator will lead the full grant lifecycle, including identifying funding opportunities, developing and submitting competitive proposals, administering awarded grants, monitoring compliance, and evaluating program performance. This individual will also serve as a strategic project leader, coordinating grant-funded initiatives across operational, clinical, finance, compliance, quality, and executive teams.

The ideal candidate brings 5+ years of experience in grant writing, grant administration, project management, healthcare administration, or nonprofit management, along with demonstrated success securing competitive federal, state, or private grant funding. Experience within behavioral health, healthcare, hospital systems, or nonprofit healthcare organizations is strongly preferred.

Key Responsibilities
  • Develop and execute an enterprise grant strategy aligned with organizational goals and strategic priorities.
  • Research, identify, and evaluate federal, state, local, corporate, foundation, and other private grant opportunities.
  • Maintain a comprehensive pipeline of grant opportunities, submission deadlines, funding cycles, and reporting requirements.
  • Build and maintain relationships with grant-making organizations, government agencies, community partners, and other funding stakeholders.
  • Partner with executive leadership to prioritize funding opportunities based on strategic value, organizational impact, and feasibility.
  • Monitor legislative, regulatory, and funding developments that may impact current or future grant opportunities.
  • Lead the writing, preparation, editing, and submission of competitive grant proposals and applications.
  • Coordinate with subject matter experts to develop program narratives, budgets, implementation plans, performance measures, and supporting documentation.
  • Ensure grant applications are accurate, complete, compliant, and submitted by required deadlines.
  • Develop standardized grant-writing templates, workflows, and proposal processes to improve efficiency and consistency.
  • Maintain required grant documentation and records throughout the grant lifecycle.
  • Coordinate implementation and ongoing management of grant-funded programs and initiatives.
  • Develop and track key performance indicators (KPIs) for grant-funded programs.
  • Monitor financial performance, operational outcomes, clinical impact, and compliance requirements.
  • Evaluate return on investment, including revenue generation, cost savings, patient outcomes, community impact, and strategic value.
  • Prepare executive dashboards, reports, presentations, and performance metrics summarizing grant activity and organizational impact.
  • Collaborate across clinical, operational, finance, compliance, quality, and executive teams to ensure successful program execution.
  • Perform additional duties and responsibilities as assigned.
Education and Experience

Education and Experience Bachelor's degree in Business Administration, Healthcare Administration, Public Administration, Communications, Nonprofit Management, Finance, Public Health, or a related field. Minimum of 5 years of progressively responsible experience in grant writing, grant administration, project management, healthcare administration, nonprofit management, or a related area. Demonstrated success securing competitive federal, state, and/or private grant funding. Experience managing multiple complex projects and competing deadlines simultaneously. Experience developing budgets and performing financial analysis related to grant-funded programs. Experience preparing executive-level reports, dashboards, and performance metrics. Healthcare, behavioral health, hospital system, healthcare services, or nonprofit healthcare experience preferred. Experience working with funding opportunities through HRSA, SAMHSA, CMS, HHS, DOJ, state behavioral health agencies, and/or private healthcare foundations preferred.

  • Knowledge of grant regulations, funding requirements, reporting obligations, and compliance standards.
  • Strong project management and organizational skills.
  • Strong financial acumen with experience in budgeting, financial analysis, and program performance evaluation.
  • Ability to analyze operational and financial data and translate findings into actionable insights.
  • Excellent written and verbal communication skills.
  • Strong presentation skills with the ability to communicate effectively with executive leadership and external stakeholders.
  • Advanced analytical, critical-thinking, and problem-solving abilities.
  • Ability to influence, coordinate, and collaborate across multiple departments and levels of leadership.
  • Proficiency with Microsoft Office Suite and project management software.
  • Experience with data visualization and reporting tools preferred.
Work Environment and Travel

This position operates in a fast-paced professional environment and requires the ability to manage multiple priorities, deadlines, calls, and inquiries. The majority of work is performed indoors in an office setting. Travel may be required, including travel by automobile, air, and/or rail.
