The College of the Florida Keys is seeking a Grants Accountant to manage advanced accounting tasks including journal entries, reconciliations, and grant reporting. You’ll coordinate budgets with grant administrators and ensure compliance with college and grant policies. Work is under the Administrative Dean, Financial and IT Operations.

Responsibilities

  • Review and approve all requisitions for fund availability and compliance for grants and activities.
  • Manage monthly and year-end general ledger closings and documentation for funds.
  • Prepare annual SEFA and financial reports.
  • Prepare monthly invoices for FKEF and manage receivables.
  • Prepare periodic grant/contract activity reporting per agreements.
  • Balance financial transactions per grant stipulations and regulations.
  • Monitor cash balances on grants and request drawdowns as needed.
  • Ensure expenditures comply with accounting standards and policies.
  • Reconcile federal/state cash (Pell, Stafford Loans, etc.).
  • Assist in travel pre/post reconciliations and provide financial analyses.

Description

The Grants Accountant is responsible for advanced accounting tasks including journal entries, account reconciliations, and preparing reports. They are responsible for funds management of restricted, auxiliary, scholarship, and agency funds. This position works with grant administrators to coordinate budgets and interacts with federal, state, and private agencies relating to grant activity. They are also responsible for ensuring financial records are in compliance with policies and regulations of the college and grant awards. Work is performed under the general direction of the Administrative Dean, Financial and IT Operations.

Examples of Duties
  1. 1. Responsible for the review and approval of all requisitions to ensure fund availability, accuracy, and compliance for grants and student activities in restricted (2) funds, all auxiliary funds (3), all scholarship (5) funds, federal loans, Florida Keys Educational Foundation (FKEF), and club activities in the agency (6) fund. All grants, inclusive of federal, state, and private grants.
  2. 2. Responsible for monthly and year-end general ledger closings and maintains all detailed assets and liabilities documentation related to funds managed.
  3. 3. Prepares annual Schedule of Expenditures of Federal Awards (SEFA).
  4. 4. Prepares monthly invoice and supporting documentation for FKEF. Responsible for ensuring collection of receivables.
  5. 5. Responsible for monthly, quarterly, and annual reporting of grant and contract activity in accordance with requirements set forth in the agreements.
  6. 6. Responsible for balancing of financial transactions to ensure accuracy and compliance with grant stipulations or other regulations.
  7. 7. Monitors cash balances on federal, state, and private grants and requests drawdowns as needed.
  8. 8. Monitors expenditures for compliance with accounting standards and College policies.
  9. 9. Prepares monthly reconciliation of federal and state cash, including, but not limited to: Pell, Stafford Loans, SEOG, FWSP, FWEP, FSAG, Bright Futures and CDDV.
  10. 10. Reviews and approves pre-travel requests and post-travel reconciliations.
  11. 11. Assists the Administrative Dean, Financial and IT Operations with financial analysis and completion of various reporting requirements as needed.
  12. 12. Works with various external auditors. Prepares worksheets and responses as requested by auditors.
  13. 13. Member of the QEP Advisory Committee.
  14. 14. Key member of monthly and annual accounting close process. Prepares monthly operational journal entries including indirect cost and revenue for grants, financial aid, and FKEF.
  15. 15. Assists in all College recruitment & retention efforts as appropriate.
  16. 16. Required to attend Graduation/Commencement ceremonies.
  17. 17. Additional duties as assigned.

Education and Qualifications
  • Graduation from an accredited two-year college or university with an Associate's Degree in a related field, required. Bachelor's degree preferred.
  • Three (3) years of accounting experience or bookkeeping experience.
