Job Description Summary / TWC Summary
JOB SUMMARY : Under general supervision provides administrative support to theOffice of the Registrar. Responsible for the coordination of allprocesses for graduation and commencement ceremonies. Responsiblefor knowledge and interpretation of degree requirements as statedin multiple university catalogs, as well as University policies andprocedures. Responsible for assisting with maintaining and updatingDegreeWorks, the University degree evaluation system.
Essential Duties Summary
- Creates and maintains list of eligible students for graduation.Prepares and disseminates all information related to graduation.Notifies potential graduates of application procedures.
- Verifies and provides letters for potential employers forstudents who are expected to meet degree requirements for thecurrent semester.
- Responsible for commencement ceremony preparation, includingpreparing and proofing list of graduates for commencement program,ordering signs, ticketing, preparing diploma covers, providinglists to all faculty and assigning rooms for graduates.
- Responsible for clearing students, checking grades, postingdegrees and academic distinction each semester to the integratedstudent information system (Banner). Prepares and distributes FinalGraduation and Ranking Lists.
- Utilizes scanning database to scan and index graduationdocumentation.
- Responds to requests for information such as number ofuniversity graduates and degrees earned.
- Oversees printing of diplomas. Responsible for verifying,processing, proofing, and mailing all diplomas, includes processingrequests for duplicate diplomas.
- Completes application for Be on Time Loans and TuitionRebates.
- Responsible for degree evaluation and planning system(DegreeWorks) ensuring accuracy of programs and scribing.
- Communicates with curriculum coordinator to ensure all changesare incorporated into the degree evaluation system each academicyear regarding new courses and programs ensuring that all updateshave been incorporated into DegreeWorks.
- Responsible for ensuring service excellence to all Universitystakeholders.
- Requires detailed knowledge and familiarity of all universitypolicies and procedures.
- Serves on various university committees.
- Contributes to the effective team management of all relevantproblems, issues, and opportunities.

Education
Required:
Bachelor’s degree (B.A. or B.S.) or higher.
Preferred:
Master’s degree.

Knowledge of:

Work Experience
- Two (2) years directly related job experience in highereducation.
- Previous experience in the Registrar’s office ispreferred.
- 3 years of experience with Banner student information systempreferred.
- Experience with catalog software and DegreeWorks programmingpreferred.
Working/Environmental Conditions
- Routine office environment.
- Sitting or standing in one location much of the time.
- Use of video display terminal.
