Job summary

Texas A&M University is seeking a Graduate Program Coordinator to support graduate academic and student services for Atmospheric Science, Geography, and Oceanography. You will be a key resource for graduate students, faculty, and prospective students while supporting admissions, recruiting, professional development, and program administration.

The role requires a Bachelor's degree and four years of administrative experience; a Master’s degree is a plus.

Responsibilities

  • Provide administrative support for graduate programs and assist with admissions requirements.
  • Assist with registration, degree audits, Q-drops, petitions, degree plan approvals, and other academic documents.
  • Collect and track historical program data and statistics for strategic use by graduate programs.
  • Assist with graduate student recruiting events and orientation, and with professional development activities.
  • Collaborate with the graduate program director to implement recruiting strategies and manage communications.
  • Maintain applicant data in systems such as Compass, Howdy, Banner, WebAdMIT, and CARS for reviews and reporting.
  • Manage Graduate Assistant (GAT) access to courses in Compass SWASECT as needed.
  • Enter course updates and new course proposals in the Curriculum Approval Request System (CARS).
  • Provide support in designing and preparing reports for internal and external stakeholders.

The Graduate Program Coordinator will support and coordinate graduate academic and student services for the departments of Atmospheric Science, Geography, and Oceanography. The role will serve as a key resource for graduate students, faculty, and prospective students while supporting academic programs, admissions, recruiting, professional development, and program administration.

Opportunities to Contribute

Will provide administrative support for graduate programs and assist graduate directors and advisors with admission requirements, application process, program activities, policies, procedures, and student needs. Assists with registration concerns, degree audits, Q-drops, forces, petitions, degree plan approvals, and other academic documents using systems such as Compass and Howdy. Collects and tracks historical program data and statistics for strategic use by graduate programs. Assists with graduate student recruiting events, graduate student orientation, and graduate program for professional development and recognition of graduate students. Collaborates with graduate program director to implement recruiting strategies as determined by department needs. Uses the Applicant Information System, Banner, and WebAdMIT to maintain applicant data for department program reviews and reporting. Manages Graduate Assistant (GAT) access to courses using the Compass SWASECT screen, if granted access. Maintains awareness of the training activities of Graduate Assistant (GAT) and enters or updates their status in the TATEP portal when expected. Enters course updates and new course proposals through the university Curriculum Approval Request System (CARS). Provides support for the design and preparation of reports for internal and external stakeholders.

Qualifications
  • Bachelor's degree or any equivalent combination of education and experience.
  • Four years of administrative experience or related.
  • A well-qualified candidate may also possess: Master's degree
  • Ability to use spreadsheet, database, presentation, and word processing software programs.
  • Ability to plan and organize effectively.
  • Experience in higher education.
  • Working knowledge of standard office equipment.
  • Ability to work in a fast-paced environment and work cooperatively with others.

Salary Range: $60,000 - $63,000. Compensation will be commensurate to selected hire's experience.

Special Note: This position may require some work or travel during evenings and weekends to support recruitment goals.
