Job summary

Resolution Think LLC seeks a Graduate Medical Education (GME) Institutional Administrator to support NIH Clinical Center, Office of Clinical Research Training and Medical Education. This role serves as the principal administrative coordinator for the DIO, ensuring institutional compliance with ACGME requirements across twenty-four residency and fellowship programs.

The incumbent will coordinate accreditation activities, GMEC support, onboarding, policy development, and maintain data environments

Qualifications

  • Bachelor's degree in a healthcare administration or related field.
  • Minimum of one year of direct experience in graduate medical education administration or equivalent.
  • Knowledge of ACGME Institutional and Program Requirements.
  • Experience coordinating accreditation activities and regulatory compliance.
  • Excellent organizational, analytical, and project management skills with attention to detail.
  • Strong written and verbal communication; proficiency in Microsoft Office.

Responsibilities

  • Coordinate institutional compliance with ACGME Institutional Requirements and site visit prep.
  • Provide administrative support for the GMEC including scheduling, minutes, and tracking actions.
  • Coordinate the Annual Institutional Review and prepare Executive Summary materials.
  • Coordinate Special Reviews for programs needing enhanced oversight.
  • Administer Clinical Fellow onboarding and onboarding coordination with HR, Credentialing, and other services.
  • Develop, review, and maintain GME policies and appointment templates.
  • Maintain the GME trainee software platform and institutional databases.
  • Support strategic planning and continuous quality improvement in GME.
  • Lead a forum of GME Program Coordinators across NIH Institutes and Centers.
  • Maintain confidentiality of sensitive educational, personnel, and institutional information.

Job description

Cognito Systems, LLC (CSL) is seeking a qualified Graduate Medical Education (GME) Institutional Administrator to support the National Institutes of Health (NIH) Clinical Center, Office of Clinical Research Training and Medical Education. This is a single incumbent, key personnel position that serves as the principal administrative coordinator for the Designated Institutional Official (DIO), supporting institutional compliance with ACGME Institutional Requirements across twenty four accredited residency and fellowship programs and numerous nonstandard training programs.

The successful candidate will be the operational backbone of the NIH Clinical Center's graduate medical education infrastructure, coordinating institutional accreditation, facilitating the Graduate Medical Education Committee, administering Clinical Fellow onboarding, and maintaining the institutional data and policy environment required for continued ACGME accreditation.

Key Responsibilities
  • Coordinate institutional compliance with ACGME Institutional Requirements, including Annual Updates submitted through the Accreditation Data System, new program applications, complement change requests, and site visit preparation.
  • Provide comprehensive administrative support for the Graduate Medical Education Committee (GMEC), including scheduling, agenda preparation, minutes, and tracking of committee action items.
  • Coordinate the Annual Institutional Review, including collection of performance indicators and survey results, and support the DIO's Executive Summary to the NIH Medical Executive Committee.
  • Coordinate Special Reviews for programs identified by the GMEC as requiring enhanced institutional oversight.
  • Administer Clinical Fellow onboarding, appointment, and orientation, coordinating across Human Resources, Occupational Medical Service, Credentialing, Security and Badging, Benefits, Payroll, and the Division of International Services.
  • Coordinate development, review, and maintenance of institutional GME policies and procedures, including annual updates to appointment and contract templates.
  • Maintain the GME trainee software platform and supporting institutional databases, ensuring data is secure and accurate.
  • Support institutional strategic planning and continuous quality improvement initiatives related to graduate medical education.
  • Lead a forum of GME Program Coordinators, providing training and support across NIH Institutes and Centers.
  • Maintain confidentiality of sensitive educational, personnel, and institutional information at all times.
Minimum Requirements
  • Education: Bachelor's degree from an accredited institution in healthcare administration, higher education administration, business administration, public health, or related discipline.
  • Experience:
    • Minimum of one year of direct, progressively responsible experience in graduate medical education administration, academic medicine, healthcare administration, or a comparable environment.
    • Demonstrated experience supporting an ACGME accredited residency or fellowship program, or a Sponsoring Institution, DIO, GMEC, or equivalent educational governance structure.
    • Demonstrated knowledge of ACGME Institutional and Program Requirements and graduate medical education administration.
    • Experience coordinating accreditation activities and regulatory compliance.
    • Excellent organizational, analytical, and project management skills, with the ability to manage multiple priorities and maintain exceptional attention to detail.
    • Excellent written and verbal communication skills, with proficiency in Microsoft Office applications.
    • Ability to maintain confidential information with discretion.
Preferred Qualifications
  • Master's degree in related discipline.
  • Prior experience within a federal agency, military treatment facility, VA, or other government setting subject to federal personnel, procurement, and administrative rules.
  • Direct NIH or other federal GME administration experience.
  • Experience using GME management systems such as New Innovations, MedHub, ADS, or comparable platforms.
  • Experience supporting Annual Institutional Reviews, Special Reviews, accreditation site visits, or institutional Self Studies.

Resolution Think LLC is seeking qualified candidates in anticipation of a potential contract award. This position is contingent upon award of the contract.
