Job summary

Outset is seeking a strategic leader to scale global workplace operations, owning the strategy, execution, and team for the office experience across SF and NYC. You will oversee facilities, real estate, vendor relationships, events, and day-to-day logistics to keep offices productive and welcoming.

You will hire and mentor an Office Manager in SF, grow a world-class operations team, and drive cost efficiency while aligning with company culture and growth goals.

Qualifications

• 7+ years in workplace operations, facilities management, office management, or real estate administration; leadership experience expected.
• Experience guiding a growing tech company through multiple growth phases.
• Proven track record building scalable operations and leading teams.
• Experience managing multiple office locations or scaled operations across geographies.
• Expert vendor and contract management; comfortable negotiating with landlords and service providers.
• Budget ownership with forecasting, tracking, and cost optimization.
• Strong project management; coordinating renovations, moves, and events.
• Excellent communicator and stakeholder manager; partnering with leadership across departments.
• Background in capital projects (office buildouts, renovations, fit-outs).
• Familiarity with OSHA, ADA, or building code compliance.
• Experience with organizational change management.

Responsibilities

• Hire, onboard, mentor, and growth-path an office operations team.
• Build a strong operations culture and scale processes as the team grows.
• Oversee day-to-day office operations across SF and NYC: supplies, maintenance, cleanliness.
• Manage vendor relationships; negotiate contracts for janitorial, IT, maintenance, security, and utilities.
• Direct office equipment/AV management: conference rooms, WiFi, hardware procurement.
• Ensure compliance with safety, building codes, and accessibility standards.
• Manage lease administration: renewals, amendments, rent escalations, landlord communications.
• Plan space utilization and expansion/ reduction needs; optimize desk and meeting room allocation.
• Lead renovations and improvements; manage contractors and timelines.
• Manage real estate budgets and capital expenditures; forecast and track spending.
• Coordinate office events: all-hands, client visits, conferences.
• Manage meeting room scheduling and setups for events.
• Source and manage office amenities: coffee, snacks, wellness programs.
• Own workplace operations budget; identify cost savings opportunities.
• Track and report operational metrics: occupancy, costs, vendor performance, KPIs.
• Develop and execute long-term workplace strategy aligned with growth and culture.
