Job summary

U.S. Polo Assn. is seeking a Trademark Paralegal to support our global trademarks program within the Legal department in West Palm Beach, FL. You will docket U.S. and foreign filings, monitor deadlines, and help implement a new docketing system across the organization.

The role requires meticulous attention to detail, knowledge of USPTO procedures, and experience with IP docketing software. Paralegal degree or certificate is preferred.

Qualifications

• 5–10 years of hands-on trademark docketing experience.
• Strong knowledge of U.S. and international trademark procedures.
• Proficiency with IP docketing software and Microsoft Office.
• Excellent written and verbal communication; able to work independently.
• Bachelor's degree or paralegal certificate preferred; equivalent experience considered.
• Experience in apparel or consumer goods industry.
• Notary Public in Florida.
• Ability to handle confidential information.

Responsibilities

• Docket and maintain records for U.S. and foreign filings.
• Review and process correspondence from USPTO and foreign offices; calendar deadlines.
• Monitor and track prosecution deadlines; provide timely reminders.
• Assist GTM with evidentiary docs for applications and office actions.
• Update foreign counsel contact list; coordinate directives to global counsel.
• Upload, organize, and maintain electronic files in IP database.
• Coordinate with legalization agencies for authenticated documents.
• Perform QA audits on docket entries; resolve discrepancies.
• Assist with portfolio management and renewals.
• Collaborate on special projects and system improvements.
• Lead data migration, testing, and training for new docketing system.
• Perform additional responsibilities as needed.
