Job summary

Abaka AI is seeking an Event Marketing Associate to plan and run the company’s events program. You will coordinate across teams to deliver conference presence, customer dinners, meetups, and community events, ensuring smooth on-site execution and post-event reporting.

You’ll manage timelines and budgets, coordinate with vendors, and work with designers on booth assets. This role requires travel and a keen eye for aesthetics, with strong English communication and curiosity about AI.

Qualifications

• 1–3 years in event coordination, field marketing, hospitality, or related roles.
• Experience with booth logistics at large conferences (academic, research, or tech).
• Strong organization and project management with multiple moving pieces.
• Clear, friendly written and verbal communication with internal teams and vendors.
• Budget familiarity and basic reporting; familiarity with event platforms/CRMs a plus.
• Basic design skills in Canva or Figma for quick assets.

Responsibilities

• Plan and run logistics for Abaka AI’s presence at AI conferences (NeurIPS, ICLR, CVPR, COLM, SIGGRAPH).
• Organize hosted events from venue sourcing to guest lists and day-of execution.
• Manage venues, booth builders, caterers, swag suppliers, and printers; handle quotes and contracts.
