Job description

The UND Alumni Association & Foundation is seeking a Gift Administration Coordinator to play a key role in ensuring our donors' contributions are efficiently and accurately recorded, acknowledged, and aligned with their philanthropic intent.

In this position, you'll focus on the gift entry process, maintain the accuracy of our Salesforce CRM, adhere to gift entry policies, and uphold donor satisfaction through timely acknowledgments. You'll work with resolving data issues, performing donor research, and supporting seamless communication to enhance the donor experience.

POSITION SUMMARY

The Gift Administration Coordinator is responsible for recording and acknowledging gifts to the UND Alumni Association & Foundation to ensure that charitable contributions are efficiently and accurately processed. This individual ensures efficiency and timeliness in processing donor information and donations using best practices to maintain optimal data integrity as well as performs other financial responsibilities. This position plays a key role in maintaining Salesforce integrity and in maintaining donor communication and satisfaction through timely donor acknowledgement. This position exercises independent judgment in applying organizational policies, charitable giving regulations, and gift administration standards to ensure gifts are recorded accurately and in accordance with donor intent and regulatory requirements.

ESSENTIAL FUNCTIONS
GIFTS
  • Responsible for recording gifts to ensure compliance with gift policy and coding protocols for each gift to be credited in a manner that enables the fulfillment of the donor’s intent, and the donor is properly acknowledged.
  • Develop and maintain a working knowledge of IRS charitable giving regulations, gift administration best practices, organizational policies, and reporting standards to ensure gifts are processed accurately and compliantly.
  • Perform gift adjustments and write offs of donors pledges as needed.
  • Coordinates matching gift program and ensuring that matching gift payments are properly entered into the system.
  • Perform detailed research on wide-ranging, ad hoc requests for information regarding gifts, including but not limited to, providing clarity on donor intent.
  • Respond to department gift questions.
  • Ensure the integrity of financial information, maintenance of gift, donor, and other financial data in compliance with applicable regulations and reporting guidelines.
  • Other projects assigned through supervisor.
EVENTS
  • Process event registrations and related payments, ensuring transactions are accurately recorded and documented.
  • Prepare sponsorship invoices, process related payments, and monitor outstanding sponsorship commitments to support timely collection of event revenue.
  • Apply organizational policies and charitable giving regulations to event registrations and sponsorships, including determining and recording charitable and non-charitable portions of payments and ensuring appropriate donor receipting and acknowledgements.
  • Respond to event registration, sponsorship, and payment inquiries and assist in resolving related issues.
EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Associate degree in a Business-related field. Technical training and/or work experience can be considered in lieu of a degree.

Experience: Minimum of three years relevant work experience preferred

PHYSICAL & COGNITIVE REQUIREMENTS

Ability to operate computers, telephones, and other standard office equipment. Ability to focus and complete work in a timely manner. Ability to occasionally bend, stoop, squat, and lift or move objects up to 10 pounds.
