Job summary

Staff Outsource Solutions, LLC is seeking a capable systems and operations specialist to own and optimize GoHighLevel CRM workflows, automations, and member communications. You will oversee Google Workspace, maintain Notion systems for SOPs and onboarding, and manage MindBody scheduling and payments.

The role emphasizes data accuracy, end‑to‑end process improvements, and the ability to work independently while supporting staff with training and troubleshooting.

Qualifications

• Must have hands-on experience with GoHighLevel for CRM, automations, pipelines and campaigns.
• Proficiency with Google Workspace tools (Gmail, Drive, Docs, Sheets, Calendar).
• Advanced knowledge of Notion for business systems and SOPs.
• Experience using MindBody for scheduling, client profiles, payments, and reporting.

Responsibilities

• Own, manage, and optimize GoHighLevel for CRM, automations, pipelines, lead tracking, SMS/email campaigns, and member communication.
• Oversee Google Workspace including Gmail, Drive, Docs, Sheets, Calendars, and internal organization.
• Design, build, and maintain Notion systems for SOPs, task management, staff dashboards, onboarding, and internal documentation.
• Manage and support MindBody for scheduling, memberships, client profiles, payments, and reporting.
• Create, document, and maintain SOPs for daily operations.

Key Responsibilities

• Own, manage, and optimize GoHighLevel for CRM, automations, pipelines, lead tracking, SMS/email campaigns, and member communication


• Oversee Google Workspace (Google Suite) including Gmail, Drive, Docs, Sheets, Calendars, and internal organization


• Design, build, and maintain Notion systems for SOPs, task management, staff dashboards, onboarding, and internal documentation


• Manage and support MindBody for scheduling, memberships, client profiles, payments, and reporting


• Create, document, and maintain standard operating procedures (SOPs) for daily operations


• Identify inefficiencies and implement automation solutions to improve internal workflows


• Support staff with systems training, troubleshooting, and process improvements


• Ensure data accuracy, consistency, and clean handoffs across all platforms

Requirements

• Strong hands-on experience with **GoHighLevel**


• Proficiency in **Google Workspace**


• Advanced or working knowledge of **Notion** for business systems


• Experience using **MindBody** (fitness/wellness industry experience strongly preferred)
