Job summary

Isaac Heating & Air Conditioning in Rochester, NY is seeking a General Construction Administrator to support construction estimating, project management, field personnel, and clients with administrative tasks across Isaac locations.

The role collaborates with project managers, maintains project files, processes invoices in Service Titan, and helps prepare submittals and closeout documents. Starting salary is $65,000–$70,000 with comprehensive benefits.

Qualifications

• High School diploma or equivalent required.
• Associate degree in related field and/or 3 years of relatable experience preferred.
• Experience in HVAC/Construction industries preferred.
• Proficiency with Microsoft Office required.
• Understanding of HVAC and Plumbing industry preferred.
• Experience/familiarity with Service Titan strongly preferred.

Responsibilities

• Coordinate with office and field staff to ensure compliance with company policies and procedures.
• Work with Project Managers to assist with reporting and paperwork.
• Create and maintain project files within Service Titan.
• Enter labor, equipment, materials, and other job costs in Service Titan.
• Facilitate the commercial warranty process in Service Titan as directed.
• Prepare documents for AIA submittals such as lien waivers and affidavits.
• Generate invoices for AIA billings in Service Titan after payment documents are approved.
• Assist with preparation of submittals and closeout documentation.
• Catalog model and serial numbers for equipment after project completion.
• Assist with data entry to achieve accurate KPIs.
• Log into purchasing queue daily and issue POs to field staff.
• Assist commercial install dept by generating leads and processing small projects.

This position is designed to support construction estimating, project management, field personnel, and clients through various administrative tasks for all Isaac locations, and supporting the entire commercial department when necessary.

• Facilitate the commercial warranty process in Service Titan after direction from management
• Work with management on completing the required documents for AIA submittals, such as lien waivers, supplier affidavits, and any other required documents
• Generate invoices for AIA billings in Service Titan after the payment documents are approved
• Work with Project Managers to facilitate the preparation of submittals and closeout documentation
• Catalog all model and serial numbers for all equipment upon completion of projects
• Assist with accurate data entry to achieve accurate KPIs
• Log in to the purchasing queue daily and issue POs to field staff
• Assist commercial install department by generating and assigning leads, and processing small projects as needed for all Isaac locations
• Responsible for performing other responsibilities/duties as assigned by management

Job qualifications

• High School diploma or equivalent required
• Associate degree in a related field; and/or 3 years of equivalent relatable experience required
• Experience working in HVAC and/or Construction industries preferred
• Proficiency with Microsoft Office required
• Understanding of HVAC and Plumbing industry preferred
• Experience/familiarity with Service Titan strongly preferred

The starting compensation range is $65,000-70,000 annually. This is the range of the base pay only, it does not include other components that make up the total compensation package of the position. If offered a position, your total compensation package will be determined by experience, location, skills, and/or education which may result in a total compensation package that falls outside of the provided range.
