Position Summary
The Front Office Supervisor is responsible for upholding the mission of NeighborHealth Center (NHC) by supervising the overall front office operations of the SBC Clinic. Additionally, the Front Office Supervisor is responsible for facilitating the execution of front office strategy including relevant planning and development of other staff to carry out the strategic initiatives for clinical operations.
Requirements
Principal Duties and Responsibilities*
Team Supervision and Leadership
- Supervise the Front Desk Team, Scheduling Team, and the Referral Team.
- Promote growth of Front Office staff in areas of leadership, operational excellence, patient-centered care, education, and organizational involvement to meet the identified goals and needs of the employee and organization.
- Work with Human Resources in the hiring, onboarding, and offboarding of department team members.
- Direct the training of newly hired team members and deploy training, retraining, and skills documentation to maintain the required performance of the team.
- Facilitate team meetings and communicate changes in procedures or policies.
- Receive input from, review, and report on the performance of team members.
- Solve conflicts between staff members and resolve patient complaints.
- Increase employee motivation, retention, and engagement by providing ongoing coaching; promote teamwork within and outside of the clinical area.
- Function as troubleshooter regarding staff issues and proactively establish lasting change and procedures to prevent future issues.
Patient Services
- Foster a patient-centered, service-oriented environment
- Collaborate closely with the Billing Manager to carry out organizational goals related to billing, financial management, SFS, and compliance with HRSA regulations.
- Ensure adequate front desk coverage during clinic hours
- Be knowledgeable of the job duties and responsibilities of the team members and prepared to fill in as needed.
Administrative Oversight
- Participate in strategic planning and goal setting.
- Collaborate with senior leaders and relevant managers to develop and implement clinical procedures and systems to enable effective and productive patient care.
- Work with the Practice Manager on the financial management of the Front Office teams including providing input for budget preparation and ensuring that costs are well-controlled for the Front Office teams.
- Ensure the observance of policies, procedures, and safety practices.
- Ensure compliance with federal, state, and local regulations, including HRSA, OSHA, and HIPAA regulations.
- Incorporate volunteers as needed to assist with Office Operations.
- Perform other duties as required to help the organization accomplish its mission.
Required Skills or Abilities*
- Requires a comprehensive understanding of clinic operational issues involved in providing leadership at a Community Health Center.
- Requires strong interpersonal communication and mediation skills to successfully lead, motivate, and collaborate with a very diverse staff in a variety of capacities.
- Requires experience and demonstrated abilities for working in a multi-cultural setting.
- Ability to organize, direct, prioritize, and delegate work appropriately.
- Requires analytical skills necessary for study, evaluation, and execution of complex systems.
- Ability to use initiative and creativity for problem-solving and pro-active improvement of the clinic operations.
- Computer literacy in internet use and Windows environment, including Outlook, Word, and Excel with keyboarding skills of at least 45 wpm.
- Ability to strongly embrace and personify the mission of the NHC, through performing work in a whole person way, providing for the physical, emotional, and spiritual needs of staff members and patients.
- Ability to cultivate and develop inclusive and equitable working relationships with co-workers and community members.
- Ability to serve as an advocate for individuals of all ethnicities, genders, ages, and backgrounds.
Required Knowledge, Experience, Or Licensure/Registration
- Bachelor's degree in Healthcare Administration, Business Administration, or equivalent is highly preferred. (Appropriate experience may be substituted for educational requirements.)
- Minimum of three years of relevant experience in a healthcare environment is required.
- Leadership or management experience is highly preferred.
- Ability to work onsite Mondays through Fridays during the hours of 8am and 5pm.
- Ability to read, write, speak, and comprehend English fluently.
- Immunizations as required
