Holy Family Prenatal Care (HFPC) Front Office Medical Assistant

Full Position Title: Front Office Medical Assistant

Job Status: Non-Exempt

Departments: HFPC

Reports to: HFPC Practice Manager

The Front Office Medical Assistant is responsible for providing both administrative and clinical support to ensure smooth operations and high-quality patient care at Holy Family Prenatal Care (HFPC). This role includes front desk management, patient check-in and check-out, scheduling, insurance verification, clinical assistance, and patient education support. The position ensures compliance with HIPAA regulations, assists providers in delivering care, and supports the mission-driven goals of the organization.

Front Office and Administrative Duties
  • Answer and triage incoming phone calls; schedule patient appointments, tests, procedures, and referrals as ordered by providers.
  • Greet patients and visitors; perform check-in/check-out procedures, including scanning IDs, insurance cards and patient information into electronic medical records (EPIC).
  • Confirm appointments and contact no-show patients to reschedule via phone, mail, or messaging systems.
  • Maintain office and waiting room areas to ensure cleanliness and organization.
  • Perform insurance verification, intake procedures, and coordinate incoming/outgoing faxes.
  • Maintain accurate patient records, charts, and statistics in compliance with HIPAA regulations.
  • Assist with administrative tasks, including assembling new patient folders, entering data, and updating office materials.
  • Participate in staff meetings, trainings, and organizational initiatives.
Clinic Support and Patient Care
  • Prepare patients for examination and treatment by escorting them to exam rooms and documenting histories, vitals, and patient symptoms in the EHR.
  • Assist with pre-visit planning by reviewing patient charts, lab results, and orders to determine needed services.
  • Prepare, clean, and maintain exam and treatment rooms, ensuring clinical supplies are stocked and organized.
  • Assist providers with clinical procedures, including OB/GYN exams, Non-Stress Tests, and office procedures as directed.
  • Administer injections or medications as ordered by providers; process medication requests.
  • Document refrigerator temperature logs, lab control tests, and other clinical quality records.
  • Provide general health and lab result information to patients, referring clinical questions to providers or Practice Manager.
  • Assist with scheduling tests, treatments, and referrals to other providers.
Strategic and Professional Organizational Engagement
  • Participate in professional development activities to maintain clinical skills and EHR competency.
  • Maintain confidentiality and professionalism in all interactions with patients, staff, and the public.
  • Perform other duties as assigned in support of the mission of HFPC and ENLC.
  • Participate in administrative staff meetings and attend other meetings and in-services as required.
Job Requirements

Education and Credentials

  • High school diploma or GED required; completion of an accredited Medical Assisting program preferred.
  • Certification as CMA (AAMA), CCMA, or RMA preferred.

Experience

  • Minimum of 1-2 years’ experience in a medical office or clinical setting, preferably in perinatal or women’s health care.
  • EHR experience (EPIC preferred) and proficiency in Google Suite are required.

Skills and Abilities

  • Excellent interpersonal, communication, and organizational skills.
  • Ability to multitask in a fast-paced, patient-centered environment.
  • Knowledge of HIPAA, OSHA, AAPLOG, and Medicaid regulations.
  • Ability to provide both administrative and basic clinical support in accordance with scope of practice.
Work Environment and Physical Demands
  • Work is conducted in both office and clinical settings; occasional exposure to communicable diseases, bodily fluids, and clinical hazards.
  • Must be able to stand, walk, bend, lift (up to 20lbs), and perform full range of motion.
  • Vision and hearing sufficient for patient care and administrative tasks.
  • Attendance, punctuality, and readiness to perform scheduled hours are essential functions.
  • Adhere to ENLC Policy and Procedures.
  • Demonstrate flexible and efficient time management and ability to prioritize workload often balancing multiple priorities.
  • Strong personal motivation, initiative, sense of responsibility.
  • Excellent knowledge of computers and willingness to learn new skills as needed.
  • A servant’s attitude with the ability to understand how all tasks impact Elizabeth's New Life Center’s ministry of supporting life.
