Job summary

JWCH Institute, in Bellflower, CA, seeks a Front Office Clerk to handle patient check-in/out, scheduling, eligibility screening, and documentation across the clinic's programs. You will process payments, verify IDs, and maintain accurate medical records with the Medical Records Department.

Responsibilities

  • Greet patients, clients, and visitors in a courteous and professional manner and assist with patient check-in and check-out processes.
  • Schedule patient appointments by telephone and in person in accordance with established scheduling procedures.
  • Screen patients/clients for program or clinic eligibility in accordance with applicable requirements and organizational procedures.
  • Review medical records and related documentation for eligibility, recertification, and other administrative requirements, as applicable.
  • Process patient payments, copayments, and insurance-related information in accordance with established procedures. Coordinate with billing staff or departments regarding identified billing discrepancies or questions.
  • Verify that required patient identification cards, HAP or Medi-Cal cards, and current General Consent Forms are on file, as applicable.
  • Record patient names and required information on daily registers and document patient disposition on applicable logs.
  • Complete designated information on forms and reports, including Encounter Forms and Sterilization Billing Report Forms, in accordance with applicable requirements and established procedures.
  • Verify that required patient clinic cards and applicable forms are properly completed, stamped, or otherwise processed in accordance with established procedures.
  • Complete designated information on Certification Information Forms and other required documentation.
  • Verify applicable Medi-Cal documentation and process copies and supporting documentation in accordance with established procedures and applicable requirements.
  • Clear, organize, and file patient charts and related forms in accordance with established medical records procedures.
  • Coordinate with the Medical Records Department and retrieve, route, and file medical records as necessary and authorized.
  • Assist other clerical/front-office staff with administrative duties, including answering telephone calls and assisting with chart-related activities as needed.
  • Complete Chart Request Lists and submit requests to the Medical Records Department as assigned.
  • Perform routine clerical and administrative duties related to the operation of the clinic.
  • Maintain the front-office and reception areas in a clean, organized, and professional manner and help ensure that patient waiting areas are welcoming and appropriately maintained.
  • Register patients/clients electronically using the designated electronic health care system.
  • Provide administrative support to physicians, nurses, technicians, and other clinical staff, including preparing or organizing patient charts, documents, referrals, and other materials as required.
  • Adhere to all organizational safety policies, procedures, and regulatory requirements to ensure a safe environment for patients, staff, and visitors.
  • Participate in required safety and compliance trainings and apply learned practices in daily work activities.
  • Identify, report, and help mitigate unsafe conditions, incidents, or hazards in the workplace.
  • Use equipment, tools, and supplies safely and responsibly in accordance with organizational and regulatory standards.
  • Maintain awareness of infection control, occupational health, and emergency preparedness procedures appropriate to the role.
  • Participate in JWCH’s customer service training called AIDET on an annual basis.
  • Demonstrate an understanding of AIDET (Acknowledge, Introduce, Duration, Explanation, and Thank You) to apply in patient encounters or team discussions.
  • Utilize the AIDET communication framework to communicate with patients and team members in a manner that reduces patient anxiety, increases patient compliance, and improves clinical outcomes.

Position Purpose:

Under the direction of the Clinic Administrator and Clinic Supervisor, the Front Office Clerk is responsible for performing client financial screening and collecting required information and documentation for state certification of eligibility, as applicable.
