Job Description:
Front Office Assistant will be responsible for a wide range of essential tasks that directly support students, staff, and program operations, particularly during the busy summer period. Responsibilities are related to front line communications, administrative and logistical support for move-ins and move-outs, front office reception, messenger/courier tasks, and office setup and breakdown.
Performs the day to day clerical, recordkeeping or processing duties of a particular area or function using common office technology and Harvard administrative systems. Will train on latter. Gathers data and assists in preparing reports. Provides information to faculty, staff members, students and the public. Keyboards and processes text and information, and may answer general correspondence. Makes appointments and maintains calendars based on specific instructions. Arranges meetings, schedules rooms and equipment. May maintain inventory and or order office supplies. Contributes to unit goals by accomplishing clerical or administrative duties as required. Some business training beyond high school desired.
Specific Duties:
• Front line communications: high volume of email queue, phone, and in-person inquiries, some of which are time-sensitive and critical in nature
• Administrative support for move-in and move-out preparations: key inventory and issue resolution, envelope stuffing, letter and supply deliveries
• Logistical support for student check-ins and special events: setup and breakdown, signage posting, backfilling of vacant volunteer assignments, transport of supplies and equipment
• Front office reception: managing sign-out and return of emergency linens, music room keys, and proctor activities supplies; greeting and directing office visitors; inventorying and restocking of course change forms, weekend sign-out requests, and general use supplies; miscellaneous copying and filing
• Messenger/Courier duties: delivering move-in materials to and from residences, transporting emergency linens to and from HSA
• Summer office setup and breakdown: involves heavy lifting and packing
