Description

We are seeking a friendly, organized, and dependable Front Office Administrator to join our dental team. The Front Office Administrator is responsible for creating a welcoming patient experience while managing the day-to-day administrative and scheduling functions of the dental office. The ideal candidate is professional, detail-oriented, compassionate, and comfortable working in a fast-paced healthcare environment.

Key Responsibilities
  • Greet patients warmly and provide excellent customer service.
  • Answer and manage incoming phone calls, emails, and patient inquiries.
  • Schedule, confirm, reschedule, and coordinate patient appointments.
  • Maintain an accurate and organized patient schedule to maximize office efficiency.
  • Check patients in and out and collect copayments, deductibles, and outstanding balances.
  • Verify dental insurance eligibility and benefits.
  • Obtain and maintain accurate patient demographic, insurance, and medical information.
  • Explain treatment costs, insurance benefits, payment options, and financial policies to patients.
  • Prepare and submit dental insurance claims and follow up on outstanding claims.
  • Process payments and maintain accurate financial records.
  • Assist with treatment plan presentations and help patients understand their financial responsibilities.
  • Monitor accounts receivable and assist with insurance and patient balance follow-up.
  • Maintain patient confidentiality and comply with HIPAA and office policies.
  • Coordinate communication between patients, dentists, hygienists, and dental assistants.
  • Maintain a clean, organized, and professional front office.
  • Assist with administrative tasks, correspondence, scanning, filing, and documentation.
  • Support the dental team with other duties as needed.
Qualifications
  • High school diploma or equivalent required.
  • Previous dental, medical, healthcare, or customer-service experience preferred.
  • Experience with dental insurance verification and claims is highly preferred.
  • Strong communication and interpersonal skills.
  • Excellent organizational and time-management abilities.
  • Comfortable handling payments and discussing financial matters with patients.
  • Professional, friendly, and compassionate demeanor.
  • Strong attention to detail and accuracy.
  • Ability to multitask and remain calm in a busy office environment.
  • Proficiency with computers, email, Microsoft Office, and dental practice management software.
  • Ability to maintain patient confidentiality and demonstrate sound judgment.
Preferred Experience
  • 1–3 years of experience in a dental or medical front office.
  • Knowledge of dental terminology, CDT codes, and insurance procedures.
  • Experience with dental practice management systems.
  • Experience with treatment coordination and patient financing.
  • Familiarity with insurance portals and electronic claims submission.
