The Front Desk Supervisor, functioning under the supervision and guidance of the Center Operations Director and/or Clinical Dyad leader, is responsible for organizing and directing the work of the front desk staff, coordinating staff activities and schedules to ensure effective patient care services are provided, and ensuring quality standards are met. Trains, guides, and supports Care Facilitators to meet organizational front desk standards and provide them with the necessary tools and resources. Leads front office center operations including quality, compliance, human resources, patient experience, and employee supervision. Ensures a positive VIP customer experience from entry to exit, making each visit memorable. Establishes and maintains strong professional relationships with internal and external partners, adhering to established guidelines to optimize patient solutions and support the overall center experience.

ESSENTIAL JOB DUTIES/RESPONSIBILITIES:

Leads a team of Care Facilitators and front desk staff, including setting performance goals, developing talent, and implementing improvements.

Engagement and Development:

  • Instills ChenMed values and behaviors
  • Builds a strong team culture and engagement
  • Promotes team member retention
  • Provides clear onboarding expectations
  • Performs regular coaching and leadership rounding to support development and retention

Operational Excellence:

  • Follows the Center Playbook procedures and core model consistently
  • Understands patient flow metrics and efficiencies, sharing desired outcomes with staff
  • Maintains focus on patient retention and a positive experience, being accessible to staff and patients

Scheduling Optimization:

  • Adheres to scheduling templates, ensuring all patients are scheduled appropriately
  • Schedules top risk patients bi-weekly and follows up on discharge and other scheduled patients
  • Provides resources and clear priorities to staff for daily success
  • Participates in hiring and selection of front desk staff

Front Desk Ambassador:

  • Assists patients with vehicle entry, opening doors, and updates for long wait times
  • Engages patients to enhance overall experience
  • Ensures OSHA, clinical, and quality standards are met
  • Acts as first point of contact for escalated patient issues
  • Supports scheduling, follow-up, and documentation processes, ensuring accuracy and timeliness
  • Troubleshoots technical issues and orders supplies as needed

Other responsibilities include:

  • Filling in for Care Facilitators during absences
  • Supporting new patient onboarding and tours
  • Performing additional duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES:
  • Strong business acumen and operational understanding
  • Knowledge of regulations and standards applicable to healthcare operations
  • Excellent decision-making, problem-solving, and organizational skills
  • Leadership, communication, and interpersonal skills
  • Working knowledge of medical insurance and EMR systems
  • Proficiency in Microsoft Office and basic IT skills
  • Professional demeanor in communication
  • Ability to travel up to 10% as needed
  • Fluency in English, both spoken and written

EDUCATION AND EXPERIENCE CRITERIA:

  • High school diploma or GED required
  • Leadership and coaching experience in healthcare preferred
  • Some college coursework preferred
  • Minimum 3 years’ experience in a medical facility required
  • BLS certification desired
