Job summary

Slalom Build, based in Seattle, seeks a Front Desk Specialist to support our Operations team. The role provides organizational and administrative assistance for our headquarters and acts as a warm, approachable presence for employees and visitors during daily operations.

In person, Monday–Friday, with occasional events after standard business hours. You’ll manage meetings, spaces, catering, signage, vendor relations and executive support as needed to ensure a seamless workplace experience.

Qualifications

  • Strong foundation of administrative/office management experience.
  • Project and program management experience.
  • Customer service mindset and enthusiasm.
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Excel, Teams).
  • Experience with Canva is a plus.
  • Ability to lift 50 pounds as part of daily operations.

Responsibilities

  • Greet and direct new hires, candidates, clients, guests and vendors in a friendly and helpful manner.
  • Provide building access to employees and visitors.
  • Keep the reception, welcome and copy center space organized, stocked and clean.
  • Triage and forward phone inquiries to the appropriate teams in a timely manner.
  • Track mail and packages in and out of HQ and send communications (daily).
  • Provide support and backup to day porter.
  • Administrative tasks such as data entry, scheduling, room arrangements, document organization, scanning.

Our fast-paced, highly collaborative Operations team is seeking a full-time Front Desk Specialist who will provide organizational and administrative support for our Seattle headquarters. In addition to coordinating meetings, resources, equipment and information, the Front Desk Specialist is a warm, enthusiastic and approachable presence for our employees and visitors. The Front Desk Specialist is a highly effective communicator, both verbal and written.They help us provide a seamless, thoughtful workplace experience where team members can do their best work, and every employee and guest feels like a priority.

This is an in-person position, Monday through Friday, during standard business hours. This includes occasional events after standard business hours.

What You’ll Do
Front Desk Leadership
  • Greet and direct new hires, candidates, clients, guests and vendors in a friendly and helpful manner.
  • Provide building access to employees and visitors.
  • Keep the reception, welcome and copy center space organized, stocked and clean.
  • Triage and forward phone inquiries to the appropriate teams in a timely manner.
  • Tracks mail and packages in and out of HQ and sends communications. (daily)
  • Provide support and backup to day porter.
  • Perform administrative/clerical tasks such as data entry, scheduling, arranging rooms, document organization, scanning and other project-based work, as needed.
Office Operations
  • Schedule external & internal meeting room reservations for Slalom Teams.
  • Manage, triage, and respond to emails in our shared office inboxes.
  • Coordinate and manage our shared event spaces, in partnership with event organizers.
  • Receive, source, purchase, and set up catering orders for internal and client gatherings.
  • Audit and order office, kitchen, and restroom supplies for all Slalom floors.
  • Manage our office digital and print signage program – create high quality, informative, and creative items as needed.
  • Triage ServiceNow tickets, and route to appropriate individuals.
  • Complete walkthroughs of common spaces to keep them tidy.
  • Liaise with executives, business leaders, operation teams and departments to be armed with up-to-date information for on-demand questions and requests.
  • Build and maintain property and vendor relationships.
  • Communicate regularly with building management, internal employees and vendors regarding facility-related asks and issues.
  • Partner with all Seattle HQ operations teams to provide continuity of services and support.
  • Provide executive support as needed to the executive assistant team relating to expense submission, event support, research projects, travel, parking etc.
  • Support of recognition and gifting programs.

In addition, individuals may be eligible for an annual discretionary bonus . Actual compensation will depend upon an individual’s skills, experience, qualifications, location, and other relevant factors. The salary pay range is subject to change and may be modified at any time.
