Job summary

Slalom is seeking a highly organized Administrative Assistant to provide high-quality administrative support to our executive assistant managers and executives. You will help manage multiple priorities, travel arrangements, events, and project tasks for Slalom’s CEO and President.

In this role you’ll collaborate with the Global EA team, support travel planning, calendar coordination, meeting logistics, and confidential communications while maintaining discretion and professionalism.

Qualifications

  • Bachelor’s degree in business administration, communications or related field preferred.
  • Experience supporting senior leadership or an office operations team is a plus.
  • Strong written and verbal communication and a proactive mindset are essential.

Responsibilities

  • Project Support: assist with special projects and initiatives, including research, errands, event preparation and document preparation.
  • Travel Support: plan and coordinate itineraries, accommodation and transportation for executives.
  • Relationship Management: build and maintain relationships with key stakeholders and other executive assistants.
  • Event Planning and day-of support: coordinate on-site and off-site events, logistics, catering, guest lists and printing projects.
  • Global EA Team Collaboration: work with the Global Executive Assistant team and participate in team meetings.

Job description

Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing high-quality administrative support to ensure the efficient operation of the executive assistant managers and their executives. This role will involves handling a variety of tasks related to the organization and projects pertaining Slalom’s CEO and President and requires a proactive individual who can manage multiple priorities with ease.

Key Responsibilities:

  • Project Support: Assist with special projects and initiatives as directed by our executive assistant managers. This includes, but not limited to research, errand running, meal ordering and delivery, gift procurement, event preparation, document preparation, travel support, etc …
  • Travel Support: Collaborate on travel management including planning and coordinating itineraries, booking accommodation and transportation, and ensuring seamless travel experiences for our executives and their guests.
  • Relationship Management: Build and maintain strong relationships with key stakeholders, both within and outside the organization; including but not limited to team leadership, and other executive assistants.
  • Event Planning and day of Support: In collaboration with the executive assistant managers, plan and support coordination of events, both on-site and off-site, including logistics, catering, communications, guest lists, meeting objectives, gift bag assembly, printing projects, printing, errands, etc …
  • Global EA Team Collaboration: Report into the Global Executive Assistant team, collaborate and work closely with other executive assistants. Participate in regularly occurring Global Executive Assistant team meetings and processes.

Other:

  • Regular in-office attendance, Monday – Friday, at Seattle location is a requirement of this role.
  • Ability to lift up to 50 pounds as part of daily operations.
  • Must have a valid driver's license and access to a reliable vehicle for running errands.
  • Up to 10% domestic travel is expected for client meetings and events; flexibility required based on business needs.
  • Flexibility with hours often necessary due to events.
  • Client meeting tracking in Salesforce.

Qualifications:

  • Experience: 1-3 years of experience as a coordinator or in a similar role, preferably supporting senior leadership or an office operations team.
  • Education: Bachelor’s degree in business administration, Communications, or a related field is preferred.

Skills:

  • Track record of organizational and time management skills.
  • Demonstrates strong initiative, viewing challenges as opportunities for innovation and growth.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Copilot).
  • Ability to work collaboratively.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and attention to detail.

In addition, individuals may be eligible for an annual discretionary bonus . Actual compensation will depend upon an individual’s skills, experience, qualifications, location, and other relevant factors. The salary pay range is subject to change and may be modified at any time.
