Responsibilities

Summit Oaks Hospital, a 126 bed, private acute care hospital and chemical dependency treatment center, located in a picturesque suburban setting, fully accredited (by the Joint Commission), has been providing quality health care to adult, child and adolescent northeastern USA residents, since 1902. Summit Oaks has repeatedly been recognized in U.S. News & World Report, as one of the nation's best behavioral health hospitals.

The Receptionist is responsible for greeting and assisting all visitors, answering the switchboard, documenting incoming deliveries, processing incoming and outgoing mail and providing clerical support as requested. In addition, the Receptionist assists with various clerical duties and projects as assigned, and may assist with completing appropriate paperwork for new admissions during after-hours shifts if assigned.

  1. Follow the facility guest relations program when greeting and assisting all visitors, ensuring all visitors sign the visitor log and obtain a visitor pass.
  2. Answer and disseminate all incoming calls on the switchboard in a professional and courteous manner within three rings.
  3. Utilize the paging system to announce callers as required.
  4. If assigned, provide clerical support to admissions: collate admission folder as required and key punch revised patient data as required.
  5. Ensure an adequate supply of pre-stuffed admission folders and distribute properly.
  6. If assigned, provide assistance to patients and employees, such as making change or providing meal tickets.
  7. Complete a variety of clerical projects as assigned.
  8. Distribute and accept applications for employment.
  9. Adhere to facility, department, corporate, personnel and standard policies and procedures.
  10. Attend all mandatory facility training and staff development activities as scheduled.
  11. Adhere to facility standards concerning conduct, dress, attendance and punctuality.
  12. Maintain confidentiality of facility employees and patient information.
  13. Ability to sit for long periods, up to 8 hours.
  14. Ability to lift and carry up to 25 pounds to move transfer file boxes, paper and newly admitted patient’ belongings, as required.
  15. Ability to use both hands in fine manipulation of small tools (copier, computer, telephone, calculator, fax machine).
  16. Ability to push and pull up to 10 lbs. (file cabinet drawers, computer paper boxes).
  17. Ability to see well enough to read handwritten and typewritten material.
  18. Ability to retrieve files from bottom shelves and drawers.
  19. Ability to spend 90% working time in an environment of continuous low voices and office machine noise typical for business office atmosphere.
  20. Ability to handle a variety of repetitive tasks in an organized manner.
  21. Performs other duties as assigned/required by this position.
