Job summary

Advanced Allergy & Asthma is seeking a friendly, organized Medical Receptionist to support our Ogden front office. You will greet patients, answer calls, schedule appointments, verify insurance, collect payments, and maintain accurate electronic health records in a busy medical-office environment.

The right candidate is dependable, detail-oriented, and able to manage multiple priorities while delivering a welcoming patient experience.

Qualifications

  • High school diploma or equivalent.
  • Experience in customer service, receptionist, clerical or administrative roles.
  • Strong verbal and written communication skills.

  • Ability to protect confidential patient information.
  • Basic computer proficiency and ability to learn electronic health record and scheduling systems.
  • Ability to manage multiple priorities in a busy medical office environment.

Responsibilities

  • Greet patients and visitors, complete check-in/out, verify demographic information.
  • Answer calls, manage voicemail, take messages and route to staff.
  • Schedule and confirm appointments; review provider schedules.
  • Prepare new-patient paperwork and assemble charts.
  • Verify insurance eligibility and benefits in the EHR system.
  • Scan insurance cards and documents into patient records.
  • Process referrals and prior authorizations; TRICARE/VA referrals.
  • Collect copays/payments and balance daily transactions.
  • Receive and track referrals; monitor faxes.
  • Process medical-record requests and maintain confidentiality.
  • Print provider notes and schedules; support administrative tasks.
  • Maintain a clean reception area; assist with lunches as needed.
  • Perform other front-office duties as assigned.

The board-certified medical team at Advanced Allergy & Asthma is dedicated to providing the most cutting-edge treatments for acute and chronic allergies, asthma, and related conditions. The office in Ogden, Utah, is fully equipped with the latest technologies to diagnose and treat the many disruptive symptoms of allergies, asthma, eczema, and other chronic health issues.

Led by renowned allergy specialists, Vicki J. Lyons, MD, PC, and Timothy J. Sullivan, MD, the Advanced Allergy & Asthma team focuses on individual needs and makes the latest treatments available for patients of all ages.

Schedule: Full-time, Monday - Friday

About the position

Advanced Allergy & Asthma is seeking a friendly, organized Medical Receptionist to support our front office in Ogden, Utah. This position is the first point of contact for patients and plays an important role in creating a welcoming, efficient healthcare experience.

The Medical Receptionist greets patients, answers phones, schedules appointments, verifies insurance, collects payments, processes referrals and maintains accurate electronic health records. The right candidate is dependable, detail-oriented and comfortable managing several priorities in a busy medical office.

Responsibilities
  • Welcome patients and visitors, complete check-in and check-out, confirm demographic information and notify clinical staff of patient arrivals.
  • Answer incoming calls, manage voicemail, take accurate messages and route calls to the appropriate team member.
  • Schedule and confirm patient appointments while reviewing provider schedules to improve patient access and workflow.
  • Prepare new-patient paperwork, create patient charts and assemble patient information packets.
  • Verify insurance eligibility and benefits using the electronic health record system.
  • Scan insurance cards and other documents into patient records.
  • Process referrals and prior authorizations, including TRICARE and VA Community Care referrals.
  • Collect copays and patient payments, issue receipts and accurately balance daily transactions and batches.
  • Receive, track and follow up on physician and patient referrals.
  • Monitor incoming faxes and distribute documents to the appropriate team members.
  • Process medical-record requests and maintain accurate, confidential patient information.
  • Print provider notes, orders, schedules and other clinical or administrative documents.
  • Schedule eligible asthma patients using the Biologics workbook.
  • Use Tebra, Relatient and other medical-office systems to complete scheduling and administrative tasks.
  • Prepare routine reports and provide general clerical and administrative support.
  • Maintain a clean, organized and welcoming reception area.
  • Coordinate occasional provider and pharmaceutical representative lunches.
  • Perform other front-office duties as assigned.
Qualifications
Required
  • High school diploma or equivalent.
  • Previous customer service, receptionist, clerical or administrative experience.
  • Strong verbal and written communication skills.
  • Excellent organization, accuracy and attention to detail.
  • Professional, patient-focused approach.
  • Ability to remain calm and courteous when assisting patients who may be anxious, frustrated or unwell.
  • Sound judgment and ability to protect confidential patient information.
  • Basic computer proficiency and ability to learn electronic health record and scheduling systems.
  • Ability to manage multiple priorities in a busy medical-office environment.
Preferred
  • Previous medical receptionist, medical front desk or healthcare administrative experience.
  • Experience with patient scheduling, insurance verification, referrals, prior authorizations or medical records.
  • Familiarity with electronic health record systems.
  • Experience using Tebra, Relatient or similar healthcare software.
  • Experience processing TRICARE or VA Community Care referrals.
  • Knowledge of HIPAA and patient privacy requirements.
