Front Desk Reception Coordinator

In person | Full-time | $21.50-$24.00 per hour

The first few minutes of a visit should be straightforward. A person arrives, knows they are in the right place, and is connected with the employee expecting them. The Receptionist makes that possible while managing calls and keeping the front desk's records accurate.

You will greet visitors, confirm appointments, notify staff of arrivals, and direct deliveries or messages through the office's procedure. Phone calls may involve a quick answer from approved information or a careful message for someone else. You should be able to say what you know, explain what happens next, and avoid promising a time or outcome that has not been confirmed.

The desk during a normal day

A scheduled visitor may arrive early while the telephone rings. An employee may ask you to update a booking, and a courier may need direction. The role calls for a calm way of deciding what needs immediate attention and what can wait a few moments. Keeping a short list of pending callbacks and requests helps the next person at the desk provide continuous service.

The office also relies on reception for small administrative tasks. You may distribute an approved form, log a delivery, check a contact detail, or organize information for a meeting. The exact visitor and privacy procedures will be explained during training. You should follow those procedures even when someone is in a hurry; being helpful does not mean letting a caller or visitor bypass them.

People will sometimes ask questions while you are already helping someone else. A calm acknowledgement lets them know you have noticed them without abandoning the interaction in front of you. When the immediate rush passes, check your notes for any visitor, caller, or delivery still waiting for attention. At shift change, tell the next person which arrivals are expected and which messages remain open. That handoff is part of front desk work; it prevents a polished greeting from being followed by a missed appointment or unanswered call.

What makes someone effective here

A warm greeting matters, but so do accuracy and discretion. Listen for the caller's name and purpose, repeat a detail when you need to confirm it, and record enough information to make the message useful. When you update an appointment, check the date and time before telling the visitor it is confirmed. Over time, you will learn which questions recur and where the approved answers are kept; you will not be expected to memorize everything at the start.

A colleague who is running late may need a quick and accurate arrival notice. A visitor whose appointment was changed needs a calm explanation and a confirmed next step. The receptionist helps both without sharing private details or taking over decisions that belong to the person hosting the appointment.
