The Front Desk Member Services Representative is the first point of contact for members, affiliates, and visitors to the Guam Association of REALTORS® (GAR). This position plays an important role in creating a welcoming, professional environment while providing outstanding customer service and administrative support.
The successful candidate will assist members with general inquiries, process membership and MLS-related transactions, support association programs and events, maintain accurate records, and help ensure the efficient daily operation of the GAR office.
Essential Duties and Responsibilities
Front Desk & Customer Service
- Welcome members, affiliates, guests, and visitors in a friendly and professional manner.
- Answer incoming telephone calls and emails and direct inquiries to the appropriate staff member.
- Provide accurate information regarding GAR membership, MLS services, education, events, and office procedures.
- Receive and distribute mail, packages, and deliveries.
- Maintain a clean, organized, and professional reception area.
Member Services
- Assist prospective members with membership applications and required documentation.
- Process new memberships, transfers, reinstatements, and member updates.
- Maintain accurate member records within the association database.
- Assist members with password resets, website navigation, and basic account assistance.
- Prepare membership packets and orientation materials.
- Support member onboarding and provide general guidance on GAR services and benefits.
- Process membership payments and issue receipts following established financial procedures.
Administrative Support
- Assist with data entry, filing, scanning, and document management.
- Prepare correspondence, reports, labels, and mailings.
- Monitor office supplies and notify management when replenishment is needed.
- Assist staff with special projects and administrative tasks.
- Maintain confidentiality of member and association information.
Education & Events Support
- Assist with registration for classes, meetings, and special events.
- Prepare attendee certificates, materials, badges, and sign-in sheets.
- Help with event setup and breakdown when needed.
- Assist members with continuing education and event registration questions.
MLS & Lockbox Support
- Provide basic assistance regarding MLS and Supra lockbox services.
- Process lockbox and key issuance following GAR procedures.
- Refer technical MLS or Supra issues to the appropriate staff member or vendor.
General Office Responsibilities
- Participate in staff meetings and training opportunities.
- Maintain a positive, helpful, and member-focused attitude.
- Perform additional duties as assigned by GAR senior staff.
Qualifications
Required
- High school diploma or equivalent.
- Minimum two years of customer service or administrative experience.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Ability to learn membership and MLS software systems.
- Professional appearance and positive attitude.
- Ability to work independently while functioning as part of a team.
Preferred
- Experience working in a REALTOR® association, MLS, real estate office, or membership organization.
- Knowledge of Flexmls, Supra, or association management software.
- Experience handling cash receipts and basic bookkeeping procedures.
