Job description

The Front Desk Manager is responsible for overseeing all aspects of the hotel's front desk and guest services operations. This role involves leading, mentoring, and supervising the front office team to ensure the delivery of exceptional guest experiences from arrival through departure, while maximizing guest satisfaction, efficiency, and hotel revenue.

Key Responsibilities
I. Team Leadership & Management
  • Staff Supervision: Recruit, hire, train, schedule, and supervise all Front Desk Agents, Night Auditors.
  • Performance Management: Conduct regular performance evaluations, provide coaching, constructive feedback, and disciplinary action as needed to ensure adherence to hotel standards.
  • Training & Development: Implement and maintain a comprehensive training program for all new and existing front office staff on technical skills, customer service standards, and safety procedures.
  • Scheduling: Prepare and manage departmental schedules to ensure adequate staffing levels for all shifts, managing labor costs within budget guidelines.
  • Communication: Conduct daily shift briefings and monthly department meetings to communicate goals, policy changes, and important information.
II. Guest Service & Operations
  • Service Excellence: Lead by example and ensure the entire front office team provides professional, friendly, and efficient service to all guests.
  • Check-in/Check-out: Oversee all guest registration (check-in) and departure (check-out) procedures to ensure they are smooth, efficient, and accurate.
  • Complaint Resolution: Promptly and professionally address and resolve all escalated guest complaints and issues to ensure guest satisfaction and loyalty.
  • Inquiries: Manage and respond to guest inquiries regarding hotel services, local attractions, and travel directions.
  • Quality Control: Monitor guest feedback (e.g., surveys, online reviews) and implement action plans to continuously improve service performance.
III. Financial & Administrative Duties
  • Cash & Credit Handling: Enforce all cash-handling, credit card, and check policies. Verify and balance cash drawers and deposits at the end of each shift.
  • Reporting: Review and analyze daily front office reports (e.g., occupancy, revenue, rate variances) and submit required reports to the General Manager.
  • Reservations: Work closely with the reservations team (or manage reservations) to optimize room inventory, occupancy, and room rates to maximize revenue.
IV. Inter-Departmental Coordination
  • Communication Hub: Maintain strong, clear lines of communication with other hotel departments, especially Housekeeping and Maintenance, to coordinate room readiness, address guest requests, and handle service issues.
Qualifications and Requirements
  • Education: High School diploma or equivalent required.
  • Experience: Minimum of 1 year of supervisory or management experience, preferably in a hotel front office or a high-volume customer service environment.
  • Technical Skills: Proficiency in Property Management Systems (PMS) such as Choiceadvantage, Jonas Chorum, or similar hotel software, as well as standard office software (Microsoft Office Suite).
