Job summary

GI Alliance is seeking a friendly, detail-oriented medical office clerk to greet patients, manage front desk calls, and schedule appointments. You will be the first point of contact, handling demographics, insurance data, and patient flow with accuracy.

Ideal candidates have 2–3 years in a medical office, strong multitasking skills, and experience with EMR systems. Travel between locations may be required, and professionalism is essential.

Qualifications

  • High school diploma or GED required.
  • Associates or Bachelor's degree preferred.
  • 2–3 years of medical office experience.
  • Experience in a fast-paced, high patient volume doctor's office.
  • Ability to multitask and manage phone, in-person patients, and staff calmly.

Responsibilities

  • Greet callers and in-office patients warmly and provide courteous service.
  • First point of contact for patients at our practice.
  • Handle calls and in-person interactions with sound judgement, protecting sensitive information.
  • Answer calls within three-four rings.
  • Accurately schedule appointments and update demographics/insurance data.
  • Manage appointments: confirm, cancel, reschedule, update as requested.
  • Use EMR system to match clinician availability with patient needs.
  • Schedule appointments per clinic guidelines and maintain accurate records.
  • Communicate with providers and staff about patient concerns; escalate as needed.
  • Complete requests from other medical offices (fax records, etc.).
  • Address patient concerns efficiently and effectively.
  • Apply customer service principles to handle patients calmly.
  • Perform other clerical duties as assigned; some travel between locations.

  • When scheduling patients and/or checking a patient in, be sure to add and update demographics and insurance information for that individual thoroughly and accurately.
  • Confirm, cancel, reschedule, and update patient appointments at request of patient and/or provider.
  • Use the EMR system to match physician/clinician availability with the patient's needs and preferences in terms of date and time.
  • Able to accurately schedule appointments based on clinic and practice guidelines and specifications.
  • Maintain and regularly update scheduling systems so patient records are accurate and complete and can be used to analyze patient/staffing needs and patterns.
  • Communicates as needed with providers and other staff about any patient concerns/issues. Consults with the office manager about any system problems.
  • Effectively communicate and complete requests from other medical offices (faxing patient medical records, or other information as requested).

Experience

Two-three years of medical office experience.
